We are a Start up BPO company specializing in providing top-notch virtual assistant services to healthcare professionals. Our mission is to streamline operations for healthcare providers, allowing them to focus on delivering exceptional patient care. We are seeking a dedicated and efficient Operations Manager to oversee our team of virtual assistants and ensure smooth daily operations.

Job Summary:
The Operations Manager will be responsible for managing a team of 8-10 virtual assistants, ensuring that daily tasks and projects are completed efficiently and accurately. This role requires excellent organizational, communication, and leadership skills. The Operations Manager will report directly to the company owner on a daily basis.

Key Responsibilities:

Team Management:

Oversee the daily operations of a team of 8-10 virtual assistants.
Assign tasks and projects, ensuring timely and accurate completion.
Monitor team performance and provide feedback for improvement.
Conduct regular check-ins and team meetings to maintain high morale and productivity.

Quality Assurance:

Ensure that all work performed by virtual assistants meets the company’s quality standards.
Implement and maintain quality control processes.
Address and resolve any issues or discrepancies promptly.

Reporting:

Prepare and submit daily reports to the company owner detailing team performance, task completion, and any issues or concerns.
Provide recommendations for process improvements based on daily operations.

Training and Development:

Onboard new virtual assistants and provide necessary training.
Identify training needs and opportunities for team members to enhance their skills and performance.

Client Interaction:

Serve as a point of contact for clients, addressing their needs and ensuring their satisfaction with the services provided.
Handle any client complaints or issues with professionalism and promptness.

Process Improvement:

Continuously evaluate and improve operational processes.
Implement best practices to enhance efficiency and productivity.

Qualifications:

Bachelor’s degree in business administration, healthcare management, or a related field.
Proven experience in a management role, preferably within a BPO or healthcare setting.
Strong leadership and team management skills.
Excellent communication and interpersonal abilities.
Proficient in using project management and communication tools.
Highly organized with strong attention to detail.
Ability to work independently and handle multiple tasks simultaneously.
Reliable and punctual with a commitment to meeting deadlines.

Preferred Skills:

Experience managing remote teams.
MORE THAN 3 YRS EXPERIENCE IN THE OPERATIONAL MANAGEMENT ON BPO CENTER
Familiarity with healthcare industry standards and practices.
Knowledge of HIPAA regulations and compliance.
