Position Overview:
We are looking for a highly organized and experienced Operations Assistant to join our dynamic consulting engineering services firm in the solar industry. The Operations Assistant will play a critical role in supporting our Operations Manager and the overall efficiency of our team. This position requires a candidate with exceptional organizational skills, proficiency in Excel, and a track record of effectively supporting operations and administrative functions within a similar industry. As an Operations Assistant, you will be responsible for maintaining schedules, coordinating travel arrangements, creating proposals, and providing essential administrative support to ensure the smooth functioning of our solar engineering services firm.
Key Responsibilities:
Schedule Management: Maintain and organize the schedule for the Operations Manager and other team members, ensuring appointments, meetings, and deadlines are met efficiently.
Travel Arrangements: Assist team members in making travel arrangements, including booking flights, hotels, and coordinating travel itineraries.
Proposal Creation: Collaborate with the team to create, format, and proofread proposals and reports for clients, ensuring a professional and accurate presentation.
Data Management: Use Excel proficiently to manage and analyze data, generate reports, and maintain records as needed for various projects and initiatives.
Documentation: Maintain and organize documents, contracts, and project files in an efficient and accessible manner.
Communication: Serve as a point of contact for internal and external stakeholders, ensuring clear and effective communication within the team and with clients.
Administrative Support: Provide general administrative support, such as handling incoming calls, emails, and assisting with office management tasks as required.
Requirements:
Bachelor’s degree in a relevant field or equivalent work experience.
Prior experience in a similar role within the solar industry or consulting engineering services sector.
Proficiency in Microsoft Excel and other Microsoft Office applications.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Detail-oriented and able to maintain accurate records.
Proactive and adaptable to changing priorities.
Strong problem-solving and analytical skills.
