Job Description

We are a full-service consulting firm focused on building positive, inclusive and respectful workplace cultures through training, employee surveys, strategic planning and execution of organizational change, and leadership coaching. Our clients span the US and sometimes the globe.

We are seeking a full-time executive assistant and project manager to join our team. This role is imperative to our success as we are growing and definitely need someone to manage the details and processes! The person who fills this role is the person who takes us to the next level.

The role entails project management such as keeping our team on track with clients and internal projects, executive assistant duties such as scheduling, and operations duties such as developing and implementing processes and procedures.

Operations/Project Manager Responsibilities
*Keeps close track of processes and systems, and ensures the process manual continues to be updated as needed
*Handles the process of client signatures on contracts, then sending and ensuring the first invoice is received as part of the client onboarding process (future invoices are handled by someone else)
*Project manages the sales process, including following up with potential clients, sending follow up resources after a call, and assisting with proposals
*Project manages client projects, including following up to obtain information or documents from clients, providing gentle reminders to our team when something is due, etc
*Participates in business growth by putting together reports and dashboards for the CEO to monitor the business, assisting with KPI tracking, and implementing their own and the teams’ ideas for process improvements
*Develops, manages, and coordinates process improvements for all aspects of the business
*Identifies problems and issues with organizational processes and teamwork and implements solutions to maximize efficiency

Executive Assistant Responsibilities
*Assists execs in keeping track of and being prepared for appointments and meetings, including for example, sending an email confirmation for meetings and coordinating to ensure they’re prepared
*Managing execs’ email by responding to items in the inbox, taking on tasks, and following up with key partners after networking meetings
*Sometimes assists with personal tasks (e.g., setting appts or locating a service provider)
*Coordinates all details concerning travel such as booking flight and hotel arrangements, obtaining travel receipts for expense reports, and ensuring reimbursement is accurate

Qualifications/Skills
*Absolutely must be able to write well in English
*Absolutely must be good at managing all the tiny details of projects so things don’t slip through the cracks
*Past experience helping teams push through projects and keeping them on track
*Problem solver and ability to organize data, processes, and people
*Proficient in Microsoft PowerPoint, Word, and Excel required
*HR background a plus, but not required
*Experience with a plus, but not required
*Experience with Quickbooks invoicing a plus, but not required
