Operations Manager Job Posting for Annex Marketing
Annex Marketing is a Canadian-based Google Ads marketing agency that is looking for an Operations Manager to join our team. Reporting to the CEO, the Operations Manager will be responsible for overseeing all aspects of operations, including service delivery, back office, HR, marketing and lead generation, sales support and collaboration, as well as training and skill development.
This is a full-time position (40 hours per week), Monday to Friday, from 9:00 am to 5:00 pm EST. There is an option for the position to start as part time and transition to full-time. The successful candidate will be a highly organized, detail-oriented individual with experience in managing teams and ensuring effective service delivery to clients.
Preferred Qualifications and Experience:
Bachelor’s degree in Business Administration, Marketing, or related field preferred
5+ years of experience in digital marketing or advertising, with a focus on Google Ads and PPC campaigns
Experience in managing a team of digital marketing professionals, preferably in an agency environment
Excellent communication skills, both written and verbal, with the ability to effectively communicate with clients, team members, and senior leadership
Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously
Proven ability to build and maintain strong client relationships
Experience in project management and process improvement
Proficient in Google Workspace, Asana, and other project management software
Knowledge of Google Analytics, Google Tag Manager, and other marketing analytics tools
Experience in recruitment and human resources management
Ability to work in a fast-paced environment and adapt to changes quickly
A passion for digital marketing and staying up-to-date with industry trends and best practices.
Responsibilities:
Service Delivery
Manage all Google Ads Specialists/Google Ads Media Buyers
Oversee the performance and management of all client accounts
Client Relationship Management
Client communication
Oversee all slack chats (internal and external)
Monitor client messages and be available to respond in a timely manager during client business hours
Conduct calls with service deliver staff and provide support to them where and when required
Manage the entire onboarding process
Onboarding Calls
Schedule monthly reporting calls
Review and send monthly reports
Coordinate conversion tracking with developer/designer
Coordinate design work with designer
Upsell clients on website or landing page upgrades when necessary
Coordinate the set up and creation of landing page templates for wheel repair funnel clients
Assist with creating efficient and effective operating procedures
Manage and balance the workload of each media buyer/specialist
Project Management
Provide customer support for clients and manage client complaints
Client relationship building (sending out gift cards or peaks for clients when applicable)
Organize team training
Documentation of internal training into a database (SOPs)
Create instructional loom videos
Backoffice
Use stripe to send client invoices + set up subscriptions with clients
Ensure clients are funding upwork milestones on time
Remind clients that are late on payments
Assist with the payment of staff and other invoices and business expenses
Provide administrative support to CEO
Set up service providers/softwares and troubleshoot any potential issues
Set up project management software (Asana)
Manage Google Workspace/Drive
Update Website
Payroll
HR
Create and post job postings on recruitment platforms/websites
Monitor applicants and keep track of quality applicants
Conduct setter interview calls to screen applicants
Participate with CEO on hiring interviews
Create contractor agreements and collect information for new hires
Create and oversee test projects for new hires
Training and onboarding new hires
Assist with finding contractors and freelancers when required
Manage staff time off/holidays
Marketing + Lead Generation
Assist with the technical buildout of sales funnels
Assist with the buildout of company marketing assets (linked in page, google business profile, etc)
Assist with the management of various different marketing channels for Annex Marketing (Paid Ads, Linked Inn Outreach and Inbound, Upwork, Fiverr, Local listing platforms and ads, SEO, Email Outreach, Etc)
Creation of Ad copy for various different advertisements for Annex
Creation of content for promotion (blog posts, social posts, cases studies, etc)
Updating blog posts/copy of Annex Website
Ordering leads and checking quality with vendor (Apiro/Upwork)
Manage Lemlist Account
Measure CRO on the website
Create promotional materials
Sales support + collaboration
Collaborate with Sales Manager and Sales Team for audits, onboarding, and providing any required technical info
Training and Skill Development
Attend assigned TMM mastermind calls
Attend business development workshops with Acemakers
