Job Description

We have a growing and profitable startup in the marketing, business consulting, and legal services field. We also have another startup in the education field, where we teach minorities financial literacy, entrepreneurship, and workforce readiness.

We are looking for an operations VA to help us improve our processes and repeat our success. Your goal is to help us keep our promise to our customers and actually go above and beyond. In addition, you will be charged with making sure we are appropriately and efficiently utilizing our resources.

You will be responsible for overseeing the day-to-day operations of the company. You are responsible for implementing the right processes and practices across the company.

Key Responsibilities:
– Documenting the process of all key roles.
– Develop, implement, and review operational policies and procedures.
– Create systems and processes to ensure seamless operations.
– Oversees operational systems, processes, and infrastructure while looking for opportunities of improvement or revision.
– Process Mapping for efficiency.
– Identify and address problems, inefficiencies and opportunities for the company.
– Establishes and maintains credible, professional relationships with clients, internal business lines, and external vendors.
– Make important policy, planning, and strategy decisions.
– Oversee budgeting, reporting, planning, and auditing.
– Plays a significant role in forecasting, long-term planning, project status reporting, and implementing change control processes.
– Increase the level of customer/client service to ensure maximum customer satisfaction

Requirements and Skills:
– Must have at least 2 years experience as an Operations VA or similar role
– Ability to Process Map
– Ability to create SOPs
– Ability to document processes and create guides
– Project Management
– Process Management
– KPI formation and tracking
– Excellent communication skills to effectively convey ideas, negotiate, and facilitate collaboration among different teams or departments.
– Ability to think strategically and understand the organization’s long-term objectives, aligning strategies and initiatives accordingly.
– Strong problem-solving skills to identify bottlenecks, resolve conflicts, and make informed decisions to drive progress.
– Proficiency in project management methodologies, including planning, execution, and monitoring of initiatives that involve multiple stakeholders.
– Capability to adapt to changing business environments, pivot strategies when necessary, and navigate complexities with agility.
– Exceptional organizational skills with the ability to manage multiple tasks and projects simultaneously
– Ability to analyze data, trends, and performance metrics to make data-driven decisions and identify opportunities for improvement.
– Experience in change management methodologies, facilitating smooth transitions during organizational changes or integrations.
– Understanding of financial principles and cost implications related to integration strategies or cross-departmental initiatives.
Proficiency in negotiation and conflict resolution to manage diverse viewpoints and resolve conflicts effectively.
