Job Description

We are seeking a highly organized and detail-oriented Operations Virtual Assistant to join our dynamic team. This role is crucial in overseeing and managing various operational aspects of our business, which encompasses three distinct brands. The ideal candidate will be responsible for monitoring royalty reports, managing Trello boards, and reviewing all reporting and payments, including team timesheets and weekly financials.

Key Responsibilities:
1. Oversee Royalty Reports:
• Regularly check and analyze royalty reports for all companies.
• Ensure accurate calculation of payments due to licensors based on sales data.
• Coordinate with finance teams to ensure timely and accurate payments.
2. Manage Trello Boards:
• Oversee Trello boards for all three company brands.
• Ensure tasks are updated, prioritized, and tracked efficiently.
• Work closely with team members to maintain project timelines and deliverables.
3. Review Reporting and Payments:
• Conduct thorough reviews of virtual timesheets using TimeDoctor.
• Examine weekly financial reports for accuracy and completeness.
• Oversee the processing of team payments and bill settlements.

Qualifications:
• Proven experience as an Operations Assistant, Virtual Assistant, or similar role.
• Familiarity with financial reporting, especially in royalty management.
• Proficient in using Trello and other project management tools.
• Experience with time tracking software, preferably TimeDoctor.
• Strong organizational and multitasking skills.
• Excellent attention to detail.
• Strong communication and interpersonal skills.
• Ability to work independently and as part of a team.
• Preferably based in the Philippines with a good command of English.
