Senior Order Management Processing & Distribution Specialist (Senior Role)
The Senior Order Processing & Distribution Specialist plays a crucial role in ensuring efficient order processing smooth logistics operations and accuracy of finished goods inventory across all warehouses. The role focuses on delivering exceptional customer service by maintaining order accuracy and timely deliveries. The role performs order processing tasks, oversees inventory control, manages process improvement initiatives, and provides training and coaching to junior team members.
Order Processing and Accuracy:
Receive, enter, validate, and ensure order accuracy of incoming orders versus purchase orders (PO) (Retail, Export, E-Commerce, etc.) from assigned customers and sales teams.
Manage any changes or updates to orders and maintain proper documentation.
Manage Container bookings (Export containers only
Update Google Calendar, Trello, and Sales Forecast Sheet. (Export containers only)
Issue pick tickets (for export containers only), and consistently communicate with the Warehouse (WH).
Order Documentation and Tracking:
Facilitate the Issuance of delivery notes (PLC-SG), invoices, and export documents if needed, promptly.
Communicates daily with Planners, Packing & WH Team
Provide regular updates to customers and internal stakeholders regarding order status such as Reports on Back Orders to the Sales Account Manager including Short Shipped Report
Customer Service:
Report on processing claims and returns via replacement and/ or credit notes as needed, and shipping orders.
Send Out-of-Stock (OOS) (for NZ Retail) Weekly Reports to different Customers.
Freight and Transportation Management :
Arrange local couriers and track and manage shipments throughout the transportation process.
Prepare Certificate of Origin (COO) and Full sets of Shipping Documents
Source transportation methods and carriers for various types of shipments.
Negotiate favorable freight rates and contracts with carriers to optimize costs.
Arrange packaging for NZ facility, and follow up on incoming packaging.
Inventory and Distribution Control:
Collaborate closely with Planning and Production to ensure timely delivery of Finished Goods, preventing any delays in shipment preparation.
Manage inventory allocation and in cases where none is available, coordinate promptly with the Planning team.
Adjusting/Updating inventory in the system (SAP & Muhro).
Implement (export) and verify(local) FEFO and FIFO to minimize stockouts and excess inventory consistently.
Updating Bell Road Forecast (NZ Retail).
Conduct regular stock audits based on cycle counts to maintain inventory accuracy and monitor and report inventory shortages.
Lead the analysis for cycle counts, with actual counting to be managed by the Warehouse Manager or Supervisors. Initiate unscheduled counts in the event of abnormal transactions.
Process Improvement:
Identify, propose, and manage process improvement and automation projects within the Order Processing and Distribution function.
Job Qualifications:
Bachelor’s Degree in Supply Chain, Logistics, Business Administration, or a related field.
At least 5 years of experience in end-to-end order processing and logistics in either the pet food and food industry or similar FMCG sector is a plus.
Experience in order processing system automation is an advantage.
Excellent English communication skills
