Virtual Personal Assistant (Philippines based remote worker for UK based company)
Position Summary: As a Virtual Personal Assistant (PA), your primary responsibility will be to provide remote administrative and clerical support to individuals or businesses. You will work remotely and use various communication tools to assist clients in managing their day-to-day tasks and ensuring their schedules run smoothly. Your role will involve maintaining confidentiality, demonstrating professionalism, and delivering high-quality work within specified deadlines.
Responsibilities:
1. Administrative Support:
• Manage and maintain digital calendars, scheduling appointments, and coordinating meetings.
• Prepare and edit correspondence, reports, presentations, and other documents.
• Conduct research, compile data, and create reports as requested.
• Handle email and other forms of correspondence on behalf of clients.
• Assist in organizing and maintaining files and databases.
• Undertaking invoices and chasing unpaid (QuickBooks training provided)
• Ability to troubleshoot basic technical issues.
• Manage company social media presence, drafting posts, videos and blogs for our website.
2. Communication and Correspondence:
• Answer and screen phone calls, taking messages and handling inquiries.
• Manage client inquiries and provide timely and accurate responses.
• Draft and send emails, letters, and other communications.
• Liaise with clients, colleagues, and business contacts on behalf of clients.
• Maintain confidentiality and handle sensitive information with discretion.
3. Task and Project Management:
• Coordinate and prioritize tasks, ensuring deadlines are met.
• Monitor project progress and follow up with relevant stakeholders.
• Conduct online research and gather information as required.
• Assist in the preparation of presentations, reports, and documentation.
• Assist with event planning and coordination as needed.
4. Technical Skills:
• Proficiently use various software applications Microsoft excel, word, outlook, teams.
• Utilize communication and collaboration platforms (e.g., email, chat, video conferencing).
• Familiarity with project management and task-tracking tools.
• Ability to troubleshoot basic technical issues.
5. Personal Skills:
• Display strong organizational and time management skills.
• Demonstrate excellent verbal and written communication skills.
• Exhibit a high level of attention to detail and accuracy.
• Show the ability to multitask and prioritize effectively.
• Work independently and efficiently with minimal supervision.
• Maintain a professional and customer-service-oriented approach.
Qualifications and Requirements:
• Bachelor’s degree in a relevant field (preferred).
• Previous experience as a personal assistant or in an administrative role.
• Proficiency in using office productivity tools (Microsoft Office 365)
• Excellent communication skills in English, both written and verbal.
• Strong organizational and time management abilities.
• Tech-savvy with a good understanding of various software applications.
• Reliable internet connection and a suitable workspace for remote work.
• Availability during regular working hours or as required by clients.
• Proficiency with Auto-CAD and Photoshop highly desired but not required.
