We are looking for a skilled Paralegal Virtual Assistant to support to our client in managing their law firm and clients. You will play a crucial role in ensuring smooth operations, organizing client data, and supporting client relationship management (CRM) activities. The ideal candidate should have previous experience in supporting law firms, possess excellent organizational and communication skills, and be proficient in CRM automation and data transfer and integration.
Responsibilities:
• Assist in managing client relationships by maintaining client databases, organizing client files, and ensuring accurate and up-to-date client information.
• Implement and manage CRM automation tools to streamline client management processes, including automating client onboarding, document generation, and task assignments.
• Facilitate the transfer of data from various sources to the CRM system, ensuring accuracy and consistency. Integrate the CRM system with other tools and platforms used by the law firm to enhance efficiency and data accessibility.
• Assist with preparing legal documents, including contracts, agreements, and court filings. Organize and maintain legal documents and files in a systematic manner for easy retrieval.
• Manage and maintain the attorney’s calendar, scheduling appointments, court appearances, and client meetings. Send reminders and ensure all deadlines are met.
• Communicate with clients on behalf of the attorney, both in writing and over the phone. Provide updates, gather information, and ensure timely and professional responses to client inquiries.
• Conduct legal research on relevant statutes, regulations, and case law. Summarize findings and assist in preparing legal briefs and memoranda.
• Assist in preparing client invoices and billing statements. Track billable hours, expenses, and payments accurately.
• Provide general administrative support, including managing emails, drafting correspondence, and maintaining office supplies.
• Maintain strict confidentiality of client information and adhere to legal and ethical standards in handling sensitive data.
Requirements:
• Experience in using Gohighlevel is required.
• Paralegal certification or relevant degree in legal studies is preferred.
• Proven experience as a Paralegal Virtual Assistant or similar role, supporting law firms and managing client relationships.
• Strong knowledge of legal terminology, procedures, and documentation.
• Proficiency in using CRM software and tools for automation, data transfer, and integration (e.g. GoHighLevel
, MyCase).
• With experience using Asana as a project management tool and google workspace to get tasks completed.
• Excellent organizational and time management skills with meticulous attention to detail.
• Strong written and verbal communication skills, including the ability to communicate effectively with clients and legal professionals.
• Ability to conduct legal research and summarize findings accurately.
• Proficiency in document management systems and familiarity with legal document preparation.
• Ability to work independently and prioritize tasks effectively in a fast-paced environment.
• High level of professionalism and integrity when handling confidential information.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint) and virtual communication tools.
Schedule: within 8 AM to 5 PM CDT
Flexible Part-time (2 hours/day | 40 hours/month)
