Position Description:
We are opening this position for an individual with a self-starter mentality that thrives in fast-paced environments, with a can-do, upbeat attitude who is a team player willing to help all team members.
You will be reporting to the Chief Financial Officer as their bookkeeper and executive assistant, primarily working within Zoho Books as the main CRM (Customer Relationship Management) system, as well as Melio, Accounts Receivable (AR), and Accounts Payable (AP) platforms. As the sole representative managing financial records, you will be responsible for the company’s financial data and compliance by maintaining accurate books on accounts, daily transactions, financial entries, and reconciliations.
In addition to your bookkeeping responsibilities, you will also serve as the Executive Assistant to the CFO, providing crucial support in various administrative tasks and ensuring seamless communication within the department. Your main role involves onboarding and maintaining healthy and accurate books for customers within Zoho Books and related platforms. This includes tasks such as creating merchant rules for all recurring transactions, managing clearing accounts, overseeing inventory assets and cost-of-goods sold, reconciling financial entries, balancing bank accounts, creating journal entries, and ensuring the accurate closure of books. A strong understanding of Zoho Books and related financial platforms is essential for success in this role.
Responsibilities:
-Lead and supervise a team of bookkeepers, providing guidance, support, and training as needed.
-Maintain records of financial transactions by establishing accounts; posting transactions; ensuring legal requirements compliance.
-Develop a system to account for financial transactions by establishing a chart of accounts; defining bookkeeping policies and procedures.
-Oversee and conduct bank reconciliation tasks.
-Develop rules for recurring transactions.
-Establish a chart of accounts for specific line items.
-Ensure the maintenance of accurate and timely financial records while performing daily operational tasks.
-Take ownership of various account reconciliations, financial closing activities, and other projects to support the financial close process.
-Manage monthly financial closing activities, including procedures, journal entries, and account reconciliations.
-Perform regular procedures to reconcile e-commerce activities on a weekly basis.
-Contribute to special projects assigned by the department or organization.
-Assist in the implementation of internal controls through the creation of policies and procedures.
-Create and recommend best practice procedures for accounting activities, as well as identify opportunities for process improvements.
-Maintain historical records by filing documents.
-Prepare financial reports by collecting, analyzing, and summarizing account information and trends.
-Contribute to the team effort by accomplishing related results as needed.
Qualifications:
-At least 2 years of active administrative and bookkeeping experience (intermediate to expert skill set)
-If CPA graduate, at least 1 year of active administrative and bookkeeping experience
-Proficient in using a CRM (Zoho Books)
-QBO Certified ProAdvisor and/or Xero Certified (QBO Required)
-Intermediate to expert level experience in Quickbooks Online and Xero
-Deep understanding of e-commerce and relevant software used by e-commerce businesses

-Ability to work under pressure, often in a deadline-driven environment, and ability to perform several tasks concurrently
