Position Overview:
We are in search of a dedicated and resourceful part-time Executive Assistant with a nursing background and strong computer literacy skills to provide essential support to the Director of Operations overseeing multiple assisted living facilities in the Phoenix area. The ideal candidate will possess exceptional communication skills, adeptness in technology, and the ability to manage diverse administrative responsibilities in a fast-paced environment.
Key Responsibilities:
1. Email Management:
•Draft and dispatch emails to various stakeholders, including staff, vendors, and partners.
•Organize and maintain the Director’s email correspondence, ensuring timely and efficient communication.
2. Remote Technical Support:
•Troubleshoot computer and technology-related issues remotely.
•Collaborate with IT support services to resolve technical challenges promptly.
3. Communication and Liaison:
•Foster transparent and effective communication between the Director and staff, vendors, and other involved parties.
•Transmit directives and expectations from the Director to relevant individuals or teams.
4. Administrative Support:
•Arrange and manage meetings, including agenda preparation and minute-taking.
•Maintain and optimize the Director’s calendar, ensuring effective time utilization.
•Assist in generating reports, presentations, and other necessary documents.
5. Vendor Management:
•Coordinate with vendors to streamline services and deliveries.
•Aid in contract negotiation and oversee service agreement management.
6. Project Assistance:
•Provide support for various projects as directed by the Director of Operations.
•Assist in monitoring project timelines and ensuring deliverable completion.
Qualifications:
•Proven track record as an Executive Assistant or in a similar administrative capacity.
•Exceptional written and verbal communication skills.
•Strong organizational and time management capabilities.
•Proficiency in Microsoft Office Suite and a knack for quickly learning new software.
•Capability to troubleshoot basic computer and technology issues.
•Discretion and aptitude in handling confidential information.
•Preferred experience in healthcare or an assisted living environment (not mandatory).
•Nursing degree or relevant certification, demonstrating a strong understanding of healthcare practices, patient care, and medical terminology.
•Proficient in utilizing technology and software.
•Skilled in Microsoft Office Suite and comfortable with learning new software applications swiftly.
Work Hours & Benefits:
•Part-time role (approximately 20 hours per week).
•Salary starts at $3/hour
