King Arthur’s Transportation Support Services LLC is looking to add a part-time, Virtual Administrative Assistant to our team! The purpose of this role is to provide responsive and efficient administrative support to the Senior Leadership and executives on a part-time, as needed basis.
The position will normally be up to 15 hrs a week, but in busier times, you may be called in for up to 25 hrs in a week. Must be available during 4:30PM to 12AM Eastern Time (United States timezone), when required. Some of your duties will include video interviews, managing busy schedules and being an amazing communicator who’s passionate about details. You must have a deep administrative skillset, be highly organized and a self-starter.
Job Duties & Responsibilities:
– Screen candidates resumes and job applications
– Use screen recorder to record virtual interviews with candidates
– Conduct virtual/remote interviews using Zoom or Google Meet and be available to filter candidates within schedule
– Assess applicants’ relevant knowledge, skills, soft skills, experience and aptitudes
– Onboard new employees in order to become fully integrated
– Act as a point of contact and build influential candidate relationships during the selection process
– Provide forms for job seekers to fill out.
– Ensure completed forms have the following: work history, references, salary range, skills, and education.
– File papers or input information into computer database.
– Interview applicants to determine if person is a match for job opening.
– Ensure job seeker has instructions on directions and with whom they’re interviewing with.
– Check applicant’s references.
– Maximizing the executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating phone calls on their behalf
– Robust calendar and email management throughout the day.
– Problem-solving and making last-minute adjustments to schedule based on Client preferences.
– Providing consistent, grammatically correct, and timely communication to candidates and company employees.
– Successfully managing others to complete tasks.
– Collaborating effectively with a variety of virtual team members.
– Collaborate with and help teammates while maintaining a positive and professional attitude; fostering teamwork.
– Maintains accurate and up-to-date records and documentation.
– Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level staff or management.
– Maintains the integrity and confidentiality of human resource files and records.
Technical Qualifications
– Experience and confidence managing large-scale webinars including scheduling, facilitating, break-out rooms, and troubleshooting meeting management.
– Experience with high-volume email and calendar management, including email shadowing.
– Strong experience with technology such as: Google Suite/Workspace, Calendly, Slack, Project Management Tools (ex: Trello, Asana, Clickup, Basecamp), and Microsoft Office
– Significant experience with current technologies like VoIP
– Good practical experience with word-processing software and spreadsheets particularly MS Office and Google Suite/Workspace.
– Good practical experience with online calendars and scheduling, particularly Google Calendar
– MUST have experience using Zoom and Google Meet
– Experience using screen recording technology to record candidate interviews
– Strong phone, email, video conferencing, and instant messaging communication skills
