Job Description

We are a growing company with two successful online communities and looking to add a third. We are seeking a highly organized and proactive Virtual Administrative Assistant to join our team on a part-time basis. The ideal candidate will have excellent communication skills, a strong attention to detail, be familiar with artificial intelligence tools, and the ability to multitask efficiently. This role involves a variety of administrative tasks to support our business operations, client interactions, and social media presence. Training will be provided on the applications we use, and standard operating procedures (SOPs) are in place with video support to ensure a smooth onboarding process. Your responsibilities will grow gradually but will start with the following:

Conference Call Management:
– Schedule Zoom meetings and workshops according to our posted schedule.
– Upload Zoom conference call videos and notes to Google Drive.
– Gather action items from AI Note Taker and input them into an action item register.
– Tag action items to appropriate projects for follow-up.
– Send meeting notes to clients promptly.

Content and Client Engagement:
– Gather new AI information and prompts from a list of provided newsletters.
– Manage and update calendars regularly.
– Respond to client and customer emails.

General Administrative Support:
– Assist with finding speaking gigs using our process/application and follow up with potential opportunities.
– Provide research and administrative support as needed.

Requirements:

– Excellent written and verbal communication skills.

– Strong organizational and time management abilities.

– Proficiency in using Google Drive, Zoom, and social media platforms.

– Ability to handle multiple tasks and prioritize effectively.

– Self-motivated with a proactive attitude.

– Familiarity with AI and technology is a plus.

– Availability to transition from part-time to full-time within 3 to 6 months.

Training and Support:

– Training will be provided on all applications used within our business.

– Standard Operating Procedures (SOPs) are in place with comprehensive video support to ensure you are well-equipped to perform your tasks efficiently.
