We are a US-based small accounting firm (Madly CPA LLC) that serves individuals and small businesses. We are seeking a part-time virtual bookkeeper to join our team starting at the end of May 2023. The bookkeeper will be responsible for maintaining accurate financial records for our clients. We are a virtual accounting firm, but we occasionally travel to clients. I’m based out of Texas and my business partner is based out of New Jersey.
Duties:
– Categorizing and updating the Quickbooks transactions for each client
– Reconciling the Bank/Credit Card statements to Quickbooks
– Providing Monthly Balance Sheet and Profit & Loss statements for review
– Calculate monthly sales tax and prepare quarterly sales tax returns for filing
– Maintain organized and accurate financial records
– Prepare and process payroll
– Assist with metrics and input to prepare analysis and reports for budgeting and forecasting
– Manage the company inbox and answer emails as needed
– Invoice management / support quoting process
– Other administrative tasks as assigned
– You will work closely with our other bookkeeper and will coordinate together on managing workload. You will be cross-trained with our other bookkeeper’s duties to allow for backup coverage
Software: We use Quickbooks Online
Hours Expectation: You’ll be doing training and onboarding during your first week for about 5-10 hours. Then, on a monthly basis, we expect your hours to be around 10-30 hours a month, which can increase if you’d like more work.
Work environment:
– We are extremely flexible! You can set your own hours (as long as you meet deadlines and are able to occasionally conference call in the Central time zone).
– You’re more than welcome to have multiple jobs as well, but please let us know if you do so we understand how available you are.
– You can work Philippines hours. We don’t require you to work 9am-5pm USA time because we understand the difference in time zones.
– We are incredibly flexible as long as you meet the deadlines, which we give advance notice of
– While you can choose your own hours, our only requirement for your work schedule is that you are available Friday USA time (Saturday PI time) for about 4 hours. We wouldn’t need you to be available all day, but we would likely need you to work 4 hours or so that day.
Qualifications:
– Associates degree in accounting or a related field
– At least 2 years of experience in bookkeeping or accounting
– Preferred: Quickbooks Online certifications (Quickbooks ProAdvisor)
– Understanding of basic accounting – financial statements, journal entries, bank reconciliations
– Strong attention to detail and accuracy
– Good communication skills, both verbal and written in English
– Ability to work independently and meet deadlines
