Virtual Rockstar is seeking a Virtual Patient Liaison to join our client’s Chiropractic practice in New Jersey. As a Virtual Patient Liaison, you will play a crucial role in managing patient communication and engagement, as well as assisting with various administrative tasks. You will be responsible for outreach calls, scheduling appointments, maintaining patient records, handling inquiries, and coordinating with medical staff to ensure the smooth operation of our client’s practice.

Responsibilities:

Make marketing outreach calls using BreakThrough software and update call status accordingly.
Schedule appointments using MindBody software and contact various patient lists generated within the system (e.g., missed appointments, patients who haven’t returned since initial visit, etc.).
Call patients to wish them a happy birthday on their special day.
Follow up with new patients the day after their first visit to ensure satisfaction and answer any questions.
Confirm patient appointments and manage the appointment calendar efficiently.
Handle patient inquiries via phone and email, maintaining professionalism and providing accurate information.
Greet patients warmly and provide directions within the facility.
Coordinate with medical staff to manage daily schedules and ensure timely patient care.
Maintain patient records with accuracy and confidentiality.
Follow up with patients post-session, sending exercise and treatment plans as required.
Respond to frequently asked questions from patients, providing helpful and timely assistance.
Assist with appointment rescheduling and support marketing campaigns as needed.

Additional Responsibilities:

Manage social media profiles, monitor online reviews, and analyze the effectiveness of marketing campaigns.
Organize events and workshops to engage with the community and promote our services.
Maintain clinic website information and assist with posting job ads and managing responses.
Screen candidates, schedule interviews, and coordinate the onboarding process for new hires.
Develop and update job descriptions to attract top talent.

Requirements:

Previous experience in a patient liaison or customer service role, preferably in a healthcare setting.
Excellent communication skills, both verbal and written.
Strong organizational abilities and attention to detail.
Proficiency in using BreakThrough and MindBody software (or similar systems).
Ability to work independently and manage multiple tasks efficiently in a remote environment.
Commitment to patient privacy and confidentiality.
Familiarity with social media management and basic marketing principles.
Experience with event planning and website maintenance is advantageous.
Knowledge of chiropractic care or holistic healthcare practices is a plus.
