Job Overview:
Carepool Innovations, Inc. is seeking a highly skilled and detail-oriented Billing and Payroll Specialist to join our dynamic team. The ideal candidate will be responsible for overseeing and managing all aspects of billing and payroll processes to ensure accuracy, compliance, and efficiency.

Essential Functions and Responsibilities:

Billing Management:
Generate and process accurate and timely customer invoices using QBO and Customer’s Portal (direct billing).
Monitor billing discrepancies and resolve issues promptly.
Collaborate with internal teams to ensure billing information is up-to-date and accurate.

Payroll Administration:
Manage end-to-end payroll processes, including onboarding, timekeeping, deductions, and tax withholdings.
Ensure compliance with local, state, and federal payroll regulations.
Address employee payroll inquiries and resolve issues promptly.
Send driver’s pay sheet weekly.

Recordkeeping and Documentation:
Maintain organized and up-to-date records of billing and payroll transactions using the shared team’s Folder in G drive.
Prepare financial reports (e.g. Revenue Reports, Payroll Reports)

Compliance and Accuracy:
Stay informed about changes in billing and payroll regulations and adjust processes accordingly.
Conduct regular audits to ensure accuracy and compliance with company policies and regulations.

Collaboration:
Work closely with cross-functional teams, including Operations and Admins to streamline processes and improve efficiency.
Collaborate with external partners, such as vendors and customers, to ensure smooth billing and payroll operations.

Qualifications:

Bachelor’s degree in accounting, Finance, or related field.
Proven experience in billing and payroll administration.
Accounting experience is a huge plus.
Knowledgeable and experienced with QuickBooks Online (Invoicing and Payroll Processing).
Proficient in using MS Excel (knowledge of various Excel formulas/shortcuts).
Familiarity with Google Workspace (Word, Spreadsheets, Calendar, G drive).
At least 2 years of proven experience in billing.
At least 2 years of proven experience in payroll processing (preferred if US Payroll experience)
Excellent attention to detail, meticulous, and precise.
Effective communication and interpersonal skills.
Proactive and fast learner.
Ability to multitask effectively.
Can work independently with minimal supervision.
Adaptable to a fast-paced working environment.
Ability to handle sensitive information with confidentiality.
