Job Description

EJF Real Estate is a well established, rapidly growing residential real estate company in the District of Columbia is seeking to hire a Payroll Specialist who is responsible, organized, detail oriented, and reliable to join our fun/hard working team. You must have excellent communication skills.

The Payroll Specialist is responsible for performing and monitoring all tasks necessary to accomplish EJF’s payroll processing; including relationships with state and federal agencies, ensuring pay is processed on time, accurately, and in compliance with government regulations. This position requires an extremely detail orientated person with significant knowledge of payroll administration, including state and federal regulations. This role also processes and manages the payroll process for EJF independent property accounts along with performing accounting-related tasks as assigned. This position will also provide exemplary customer service in providing payroll information and handling employee requests.

PLEASE NOTE that this person MUST know payroll, taxes, and generally laws/issues around payroll in the US. We are not looking to train someone, but rather a skilled person with experience.

Duties and Responsibilities:

– Daily activities include reviewing timesheets, exceptions (to policy), editing time records including missing or incorrect timesheets, utilizing excepting reports and audit reports in Paylocity to ensure accurate payroll processing.
– Biweekly and semimonthly activities to include inputting weekly hours, voiding checks/ manual check as required. Distributing paychecks. Preparing bi-weekly payroll budget analysis (Actual vs. Budget) including ensuring that all employees are classified in their proper departments. Regular handling of all payroll inquiries.
– Monthly activities include the following: completion of payroll journal for all companies in an excel spreadsheet and edited in software systems.
– Analyzes, prepares and inputs payroll data. Uses Paylocity to execute accurate and timely payroll.
– Ensures compliance with all applicable state and federal wage and hour laws.
– Prepares weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.) for management.
– Performs various journal entries, account reconciliations, and provides general ledger support.
– Stays current on payroll systems to achieve alignment with HR benefits and other related earnings and deductions to ensure effective accounting support.
– Facilitates management and employee understanding of payroll procedures by communicating policies, procedures, updates and resolving employee inquiries.
– Manage and guarantee weekly disbursement of EJF property payrolls, including garnishments, benefits, and taxes consistent with federal and state wage and hour laws.
– Ensure the processing of new hires in non-EJF employees, transfers, promotions, and
terminations are accurate and timely.
– Works collaboratively with Human Resources to update employee payroll information including new employees, change of status employees, and employee terminations.
– Works with HR to maintain all paid time off accruals.
– Ensure 401(k) pension contributions are submitted in timely manner.
– Audit W-4s, payroll balance sheets, YTD earnings, etc.
– Communicate actively with Finance and HR to review cross-departmental impacts and reconcile data sharing.
– Manage regular preparation of relevant management reports, including weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.).
– Updates payroll calendars and systems as needed to ensure proper and timely processing of payroll from year to year.
– Performs other duties as assigned.

Qualifications:

– Bachelor’s degree in Accounting, Business Administration, Human Resources or related field required.
– 3-5 years of payroll experience managing payroll processing for a multi-state payroll department is required.
– Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes is required.

Preferred Skills:\

– Proficient at Microsoft Office Suite and specifically Excel.
– Working experience of payroll tax at the federal, state and local levels.
– Must be well organized and a self-starter.
– Detail oriented, professional attitude, reliable.
– Possess strong organizational and time management skills.
– Strong problem-solving skills, basic accounting principles knowledge, documentation. skills, research and resolution skills, data analysis and multi-tasking skills.
– Ability to communicate effectively verbally and in writing.
– Ability to interact with employees and vendors in a professional manner.
– Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness.

Working conditions:

– Candidate must be able to work from 9 am to 5 pm EST.
– Comfortable working with Hubstaff.

Compensation & Benefits:

– $7 USD per hour (Non-negotiable).
– PTO after 90 days of probationary period.
– HMO allowance after 90 days of probationary period.
