We are vacation rental management company seeking an accounting professional to join our fantastic, cohesive team. We need someone to setup bookkeeping processes utilizing trust accounting practices for our vacation rental management business and to oversee all financial processes within our business.
We are currently using Hostaway as our property management/booking software and Bookingtrust for our owner statements/trust accounting. We would like to convert to in-house trust accounting and in-house owner statements. We currently manage nearly 90 vacation rental properties, and anticipate a major expansion in the next year.
Because we are busy running a growing business, it is essential that the ideal candidate be a motivated self-starter and problem-solver with the ability to take charge of the accounting for our business, develop procedures and practices for owner statements as well as our general business accounting. We have grown quickly, and accounting has been neglected. So, the first order of business will be to setup SOPs for business going forward. Once setup, we will work on reconciliation of past accounting. This will require a “take charge” attitude – someone to build what we need and keep us on track.
Responsibilities will include:
– Setup and implementation of initial accounting department processes and procedures for client trust accounting
– Setup and implementation of initial accounting department processes and procedures for our general business accounting
– Trust accounting for the 90+ properties (and growing) that we manage
– Non-trust accounting, including monthly subscriptions and billing setup for our planned expansion and 2nd business model
– Accounts payable and accounts receivable/client expenses
– Calculation and remission of local and county sales taxes
– Bank, credit card, and petty cash reconciliation
– Production of on-time, professional looking, accurate monthly owner statements is a must.
– Submission of damage insurance claims, tracking, and reconciliation
– Submission of year-end tax documentation to clients and contractors
To qualify for the position, you will need:
– At least a Bachelor’s Degree
– 3+ years of experience in accounting
– Excellent English proficiency
– Skills in google docs/sheet, MS word/Excel, and appropriate accounting software to suit our business needs
– Strong problem-solving and leadership skills
– The ability to manage yourself (and others in the future)
Experience with/understanding of the vacation rental management field and related trust and business accounting practices is essential. We need someone with a basic understanding of our field of business and required accounting practices. We are not accounting experts and have not setup organized/formal accounting practices in the past, so we need someone who already understands our type of business and is willing and able to get our accounting department up and running fast and with little supervision. We anticipate that this position will begin as a full-time project, will plateau as a part-time position once setup, and will grow into a full-time position as our business grows, likely with additional accounting assistants as necessary.
