We are currently seeking a Personal Administrative Assistant with strong initiative, determination, and the ability to manage multiple tasks and requests from clients and HR Administrator such as data entry, making telephone calls on administrator’s behalf to contractors for projects, calendar management, scheduling, manual creation, document creation, Jotform creation, podcasts and Power Point creation effectively. The ideal candidate will also be familiar with several programs including, but not limited to Click Up, Slack Google Drive, Microsoft Office, Canva, Timedoctor, Shownotes, and Nerdphone. In this role, you will need to be fluent . We need a personal administrative assistant who has perfect, impeccable english and comprehension skills.
Responsibilities:
• Efficiently answer and manage incoming/outgoing phone calls.
• Take the lead in processing payroll and billing, ensuring accuracy, compliance and timeliness.
• Facilitate the onboarding of new students, managing enrollment paperwork and records.
• Conduct data entry tasks related to our variable systems, maintaining a high level of data accuracy.
• Proactively address and manage staff requests, including scheduling, time-off requests, and general inquiries.
• Maintain organized and up-to-date employee records and files in Homebase, among other programs.
• Demonstrate initiative in identifying areas for process improvement and suggesting solutions.
Extra consideration will be given to any candidate that has an eye for creative design for projects like flyers, e-brochures, social media employment and recruitment ads.
Requirements:
• Proven experience as a Administrative Assistant.
• Exceptional written and verbal communication skills in English.
• Proficiency in calendar management and scheduling.
• Familiarity with project management tools like ClickUp.
• Knowledge with software Playground and Homebase is a plus!
• Strong organizational skills and attention to detail.
• Tech-savvy and comfortable with digital tools and platforms.
• Excellent time management skills. This includes the ability to take initiative, be a self starter and willing to conduct USA based
research when required.
• Discretion and confidentiality in handling sensitive information.
• Strong problem-solving abilities.
• Availability to work full-time 40 hours a week, graveyard shift 9AM – 5PM Eastern Standard Time.
