Our company is searching for an experienced, reliable and task-oriented Executive Assistant (EA). The Executive Assistant will work directly with a business owner and will be responsible for performing a number of administrative duties and technical tasks. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate (work from home) environment. EA Objectives:
With a primary responsibility of supporting a business owners and provide support to them as directed to ensure that company goals and objectives are accomplished, and operations run efficiently
Maintain and refine internal processes that support the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow
Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks
Plan and orchestrate work to ensure the team priorities are met, organizational goals are achieved, and best practices are upheld
General help in all matters
EA Job Responsibilities:
Manage professional and personal scheduling for CEO, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics
Arrange personal duties such as grocery shopping, kids activities
Social media management would also be good skill but not essential.
Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination
Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database
Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
Organize team communications and plan events, both internally and offsite
This role is work from home, and there are minimum requirements for equipment and specs to ensure quality of work and communication. Whilst the hours are flexible, we expect timelines adhered to on all tasks. Your hours could vary from 20-40 hours per week – the work is there, but only if you want it – hence the flexible hours. The hourly rate is $4-$5 AUD per hour subject to experience. A probation period is required.
