We are seeking a dedicated and experienced Personal Assistant to join our team. For over two decades, our Filipino Assistant has been an integral part of our operations, embodying excellence in English communication, professionalism, and attentiveness. Responsibilities:

– As our Personal Assistant, you will be responsible for managing various administrative tasks to support our day-to-day operations. Your primary responsibilities include:
– Calendar Management: Efficiently manage and coordinate appointments, meetings, and events across multiple calendars, ensuring accuracy and timely updates.
– Inbox Management: Handle email correspondence, prioritize messages, and maintain a streamlined inbox by cross-referencing for priority versus non-priority emails.
– Travel Coordination: Organize travel arrangements, including flights, accommodations, and transportation, while considering preferences and scheduling constraints.
– Meeting Preparation: Assist in preparing materials, agendas, and documentation for meetings, ensuring all necessary resources are readily available.
– Event Planning: Support in planning and executing events, from small meetings to larger gatherings, ensuring seamless coordination and execution.
– Communication Management: Facilitate clear and concise communication channels, liaising with internal and external stakeholders as needed.
– Client Onboarding: Assist in managing the onboarding process for new clients, providing support and guidance while maintaining detailed records and reports.-
– Networking and Recruitment: Identify networking opportunities and assist in recruitment efforts as directed, contributing to the growth and development of our network and team.
– Online Branding and Presence: Support in enhancing our online presence through social media management, content creation, and branding initiatives.

Requirements:

– Minimum of 5 years of experience in a similar role, preferably as a Personal Assistant or Executive Assistant.
– Excellent command of English, with exceptional verbal and written communication skills.
– Strong organizational abilities, with the ability to prioritize tasks and manage time effectively.
– Proficiency in calendar management, email correspondence, and travel coordination.
– Ability to maintain professionalism, patience, and discretion in handling sensitive information and situations.
– Demonstrated ability to work independently with minimal supervision, while also being a proactive team player.
– Proficiency in Microsoft Office Suite and other relevant software applications.
– Availability to work 40 hours per week, from 8 AM to 4 PM EST.

Preferred Qualifications:

– Previous experience working remotely in a similar capacity.
– Familiarity with online collaboration tools such as Slack, Trello, or Asana.
– Experience in event planning, client onboarding, or online branding initiatives.
