Job Description:
We are seeking a highly organized and reliable Personal Assistant to support a busy real estate executive. As a Personal Assistant, you will play a vital role in managing the executive’s schedule, coordinating appointments, and handling administrative tasks. You will be the primary point of contact and trusted assistant, ensuring efficient operations and providing support to facilitate the executive’s productivity.
Responsibilities:
Calendar Management: Maintain and manage the executive’s calendar, scheduling appointments, meetings, and events, while prioritizing conflicting demands.
Travel Coordination: Arrange travel itineraries, including flights, accommodations, ground transportation, and any other necessary arrangements, ensuring smooth travel experiences.
Correspondence Management: Handle incoming emails, phone calls, and other communications, responding or redirecting as necessary. Prepare and draft correspondence, presentations, and reports on behalf of the executive.
Meeting Support: Schedule, coordinate, and prepare materials for meetings, ensuring all necessary resources and information are available in advance.
Information Management: Organize and maintain physical and electronic files, documents, and records, ensuring easy accessibility and confidentiality.
Project Assistance: Provide support in various projects and initiatives, assisting with research, data analysis, and coordination as required.
Relationship Management: Establish and maintain effective relationships with internal and external stakeholders, including clients, partners, and team members.
Administrative Tasks: Complete administrative duties such as expense tracking, invoice processing, and general office management tasks to ensure efficient operations.
Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
Qualifications:
Proven Experience: Previous experience as a personal assistant or executive assistant, in the real estate industry.
Organizational Skills: Exceptional organizational and time management skills to handle multiple tasks and prioritize effectively.
Communication Skills: Strong written and verbal communication skills, with the ability to effectively interact with individuals at all levels.
Attention to Detail: Keen attention to detail and accuracy in all tasks, ensuring high-quality work and error-free deliverables.
