Job Description:
We are seeking a motivated Administrative & Personal Assistant who will be responsible for managing and organizing various administrative tasks to ensure the smooth operation of our senior executives. The successful candidate will possess excellent communication skills, strong attention to detail, and the ability to prioritize tasks efficiently.
Managing Communication: Personal assistants often handle phone calls, emails, and other forms of communication on behalf of their employer. They may screen calls, respond to inquiries, and prioritize messages. Manage and organize incoming emails, prioritizing them based on urgency and importance. Ensure timely responses to emails, including booking meetings, confirming appointments, and addressing inquiries as needed.
Scheduling and Calendar Management: managing their employer’s schedule, including scheduling meetings, appointments, and travel arrangements. You will coordinate with other parties and ensure that Kristine’s calendar is organized and optimized.
Travel Planning: Arranging travel accommodations, such as flights, hotels, transportation, and itinerary planning. This includes both business and personal travel arrangements.
Administrative Tasks: filing documents in Google Docs, organizing paperwork, preparing reports and presentations, and managing expenses.
Personal Errands: personal errands such as making reservations, coordinating household maintenance, and managing personal appointments.
Information Management: PAs often assist in managing and organizing information, such as maintaining contact lists, managing files, and keeping track of important documents and deadlines.
Confidentiality: Personal assistants often handle sensitive information and must maintain strict confidentiality at all times. This includes respecting their employer’s privacy and handling confidential matters with discretion.
Special Projects: PAs may be assigned special projects or tasks that require research, coordination, and execution. This could include event planning, coordinating special events or functions, or managing specific projects as delegated by their employer.

Schedule Management: Assist in scheduling meetings, appointments, and conference calls for team members. Coordinate with internal and external stakeholders to ensure efficient use of time and resources. Provide reminders and updates to team members regarding upcoming events and deadlines.
Time Management: Assist in enforcing time management techniques to optimize workflow and productivity. Help prioritize tasks and allocate time effectively to meet deadlines and achieve goals. Monitor and track progress on tasks and projects, providing regular updates to the supervisor.
Sales Lead Management: Organize and maintain a database of sales leads and out to potential clients via email or phone to schedule appointments or provide information about our products/services. Assist in tracking sales inquiries and following up with leads to ensure timely and effective communication.
Proven experience as an Administrative Assistant or similar role.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Proficiency in email management and scheduling tools/software.
Ability to multitask and prioritize tasks effectively in a fast-paced environment.
Familiarity with sales processes and lead management is a plus.
High level of professionalism and discretion in handling confidential information.
