Job Description

I am seeking a highly organized and reliable Personal Assistant to support in managing my daily schedule and personal life. As a Personal Assistant, you will play a crucial role in ensuring that everything runs smoothly and efficiently. Your primary responsibilities will include calendar scheduling and management, appointment coordination, bill reminders, and ensuring that our client wakes up at 6:30 am every day.
Responsibilities:
1. Calendar Scheduling and Management:
• Efficiently manage and organize the client’s daily, weekly, and monthly calendar.
• Schedule appointments, meetings, and events, ensuring there are no conflicts.
• Send timely reminders and updates regarding scheduled commitments.
2. Personal Life Management:
• Assist in organizing personal errands and tasks as needed.
• Coordinate travel arrangements, including flights, accommodations, and itineraries.
• Manage reservations for social engagements, dinners, and recreational activities.
3. Appointment Coordination:
• Liaise with various parties to schedule and confirm appointments.
• Ensure that the client is informed of upcoming appointments well in advance.
• Handle any rescheduling or cancellations with professionalism and efficiency. Please respond and tell me how you would manage appointments and calendar if I’m on a vacation.
4. Bill Reminders:
• Monitor and track bill payment due dates, ensuring bills are paid on time.
• Provide timely reminders to the client to avoid any late payments.
5. Morning Wake-Up Call:
• Facilitate a wake-up call promptly at 6:30 am daily to ensure the client starts the day on time.
• Adjust the wake-up call schedule as needed for weekends or travel.
Requirements:
• Proven experience as a Personal Assistant or in a similar role.
• Excellent organizational and time-management skills.
• Strong communication and interpersonal abilities.
• High level of discretion and ability to handle confidential information.
• Proficiency in calendar management and scheduling tools.
• Ability to adapt to the client’s dynamic schedule and last-minute changes.
• Punctuality and dedication to ensure the client’s daily routines are adhered to.
Additional Information:
• This position is full-time and may require flexibility to accommodate the client’s schedule.
• The Personal Assistant may be required to work occasional evenings or weekends based on the client’s needs.
• The successful candidate will have the opportunity to work closely with a highly successful individual and gain valuable experience in personal assistance.
