The Personal Assistant (PA) is a multi-person support role who acts as first point of contact: dealing with correspondence and phone calls for their respective leader/s. In this role the employee must have the ability to adapt quickly; working in various environments throughout the day.
The Role demands a master multi-tasker with the ability to anticipate the needs of the executives. It requires confidentiality and the ability to work under pressure in time sensitive situations. The ideal candidate will display professionalism in all situations, have excellent communication skills, and be proficient with Microsoft Suites such as Excel, Power Point, Outlook, etc. At times, the role will cross into a mix of personal assistant and lead generation.

Duties and Responsibilities include, but will not be limited to:

· Calendar management including travel, conference calls, zoom calls, and meetings.

· Making arrangement for biweekly board meetings, including travel logistics, meals, and day planning.

· Attend meetings and take minutes for future distribution.

· Assisting with reports and presentations, collecting and preparing information and agendas for meetings, managing emails, and preparing correspondence.

· Work closely with the team to advise of upcoming meetings and calls, and work to avoid any scheduling conflicts.

· Assist various departments as needed for special project tasks.

· Properly order and stock office materials.

· Be the liaison between the vendors, or subcontractors.

· Answer main phone line for the Company and be the gatekeeper of communications, which requires sound reasoning as to what calls to put through to executive and which to handle themselves.

· Be willing to learn enough about each department of the Development Company to best assist them in their daily needs.
