Personal Assistant for Multiple Businesses Owner

Our portfolio includes a home building and remodeling business, a residential apartment and home rental business, and a newly formed home watch business – with currently (12) total employees. We are also starting a residential and commercial electrical business and a home cleaning business. We are well-established in our community with all our businesses and are based in Flagstaff Arizona. With a commitment to ultimate client and customer satisfaction, we have successfully undertaken various endeavors, contributing to the growth and development of our communities. As a Christian husband and father of five business owner, I understand the importance of a work-life balance and am seeking a dedicated team member to assist me in managing various aspects of my professional and personal responsibilities.

We are seeking a motivated and organized Pilipino Virtual Assistant to provide comprehensive support as a Personal Assistant. This remote position requires an individual who can efficiently manage tasks related to all the businesses previously mentioned. The successful candidate will play a crucial role in enhancing productivity, streamlining operations, and contributing to the overall success of our diverse business endeavors.

Responsibilities:
• Manage calendars, appointments, meetings, events, and set reminders on behalf of the owner.
• Organize and categorize Outlook emails to ensure efficient correspondence management.
• Maintain and update Outlook calendars, setting reminders for important tasks.
• Create and maintain comprehensive daily, weekly, and monthly SOP’s (standard operating procedures) for each employee.
• Create compelling job descriptions for positions as needed for any of the businesses.
o Post job offers on relevant job boards and platforms.
o Screen incoming applications, conduct initial evaluations, and assist in scheduling interviews.
• Handle general administrative tasks such as data entry, filing, and document management.
• Organize and prioritize tasks to ensure efficient workflow.
• Assist in managing family-related appointments, events, activities, and help plan vacations.
• Coordinate family schedules and ensure all commitments are met.
• Assist in meal planning and grocery lists.

Qualifications:
• Proven experience as a virtual personal assistant or in a similar administrative role.
• Strong organizational and multitasking skills, with an eye for detail.
• Proficiency in Microsoft Office 365 applications (Word, Excel, OneDrive, Outlook).
• Familiarity with ChatGPT or similar AI chatbot platforms.
• Excellent communication skills in English.
• Respectful, trustworthy, and able to maintain strict confidentiality.
• Self-motivated and able to work effectively in a remote setting.
