Job Overview:
We are seeking a highly organized and proactive Personal Assistant/Client Relations and Project Manager to join our team at . The ideal candidate will be responsible for managing schedules, ensuring smooth communication with clients, overseeing the completion of tasks and projects, overseeing team members, and developing standard operating procedures (SOPs). This role requires excellent written communication skills, the ability to multitask, and a strong attention to detail.
Responsibilities:
Meeting and Schedule Management:
– Schedule and organize meetings with clients and internal teams.
– Manage the executive’s calendar and appointments.
– Prepare meeting agendas and take minutes.
Client Relations:
– Serve as the primary point of contact for clients.
– Ensure clients are satisfied and address any inquiries or concerns.
– Reach out to clients upon payment and follow up on their needs.
Project Management:
– Oversee project timelines and ensure tasks are completed on time.
– Coordinate with team members to prioritize and manage workloads.
– Monitor project progress and provide regular updates to stakeholders.
Communication and Coordination:
– Maintain clear and professional communication with clients.
– Organize and manage vendor relationships and ad-hoc tasks.
– Ensure all written communication is of high quality and professional.
Reporting and Analytics:
– Generate and distribute regular project and client reports.
– Analyze project performance and client satisfaction metrics.
– Provide insights and recommendations for improvement.
Team Coordination:
– Facilitate communication between different departments (e.g., design, development, marketing).
– Organize team meetings and ensure all team members are informed about project statuses.
– Assist in onboarding new team members.
– Oversee team members to ensure they are on task and meeting deadlines.
Quality Assurance:
– Review deliverables for quality and consistency before they are sent to clients.
– Ensure all projects meet the agency’s standards and client requirements.
Client Onboarding:
– Develop and implement client onboarding processes.
– Ensure new clients are smoothly integrated and informed about the agency’s processes.
– Provide initial training or information sessions for new clients.
SOP Development:
– Create, implement, and maintain standard operating procedures (SOPs) for various processes within the agency.
– Ensure all team members are trained on and adhere to SOPs.
– Regularly review and update SOPs to improve efficiency and effectiveness.
Qualifications:
– Proven experience in a personal assistant, client relations, or project management role.
– Strong organizational and time management skills.
– Excellent written and verbal communication skills.
– Ability to multitask and prioritize effectively.
– Proficiency with project management tools (e.g., Trello, Asana) and office software.
– Strong problem-solving skills and attention to detail.
– Ability to work independently and as part of a team.
Need to be able to use Slack, Trello, Gmail, and other similar softwares.
