Personal Assistant

We are seeking a reliable and highly organized Personal Assistant to provide dedicated support for a private individual who is a busy business owner. This role involves assisting with personal tasks as well as some business task. The ideal candidate will be very discrete, detail-oriented, organized and committed to ensuring the smooth management of the individual’s personal and business affairs.
Key Responsibilities:
1. Bookkeeping: Maintain accurate financial records, including tracking income, expenses, and budgeting. Prepare and manage financial reports and statements. Quickbook experience necessary. Data entry experience required.
2. Online Research: Conduct research on various topics, including travel plans, contractor recommendations, and personal interests. Provide summaries and recommendations based on research findings.
3. Calendar Management: Set-up calendar and assist in managing personal appointments, professional appointments, scheduling events, scheduling contractors for real estate projects, vet contractors and coordinating activities.
4. Communication: Handle phone calls, emails, and other correspondence on behalf of the individual, ensuring prompt and professional responses.
5. Task Organization: Maintain a well-organized system for tracking and prioritizing personal tasks and to-do lists.
6. Travel Coordination: Make travel arrangements, including booking flights, accommodations, and transportation. Create detailed itineraries and ensure smooth travel experiences.
7. Expense Management: Track and manage personal and business expenses, including reimbursements, bill payments, and financial record-keeping as needed. Quickbook experience necessary.
8. Documentation: Prepare, review, and organize personal documents, contracts, and agreements. Maintain confidentiality at all times.
Qualifications:
– Proven experience as a Personal Assistant or similar role, with a focus on personal support. (Excellent references)
– Strong bookkeeping and data entry skills and experience managing personal and business finances.
– Excellent online research abilities and proficiency in using research tools.
– Exceptional organizational and time management skills.
– Strong verbal and written communication skills.
– Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
– Ability to handle sensitive and confidential information with discretion.
– Excellent problem-solving abilities.
– Flexibility and adaptability in a dynamic environment.
– A proactive attitude and the ability to anticipate the needs of the individual. (This is extremely important)
– High degree of professionalism and integrity are important.
Education and Experience:
– Bachelor’s degree preferred but not mandatory.
– Previous experience as a personal assistant with bookkeeping responsibilities is a plus.
