Position Overview:
We are looking for a detail-oriented and reliable Personal Assistant to provide administrative and organizational support to our executive team. The ideal candidate will be able to multitask effectively, prioritize tasks, and thrive in a fast-paced environment. This role requires exceptional communication skills, attention to detail, and the ability to maintain confidentiality.
Responsibilities:
Calendar Management: Schedule and coordinate appointments, meetings, and travel arrangements for executives.
Communication: Manage emails, phone calls, and other correspondence on behalf of executives, ensuring timely responses and prioritizing urgent matters.
Documentation and Filing: Organize and maintain physical and digital files, ensuring easy retrieval of information.
Meeting Support: Prepare meeting materials, take meeting minutes, and assist in the coordination of conferences and events.
Travel Arrangements: Plan and book domestic and international travel, including flights, accommodations, and transportation.
Expense Management: Track and reconcile expenses, ensuring accuracy and adherence to company policies.
Task Prioritization: Assist executives in prioritizing tasks and managing their workload efficiently.
Confidentiality: Handle sensitive information with discretion and maintain a high level of confidentiality.
Qualifications:
Proven experience as a Personal Assistant, Executive Assistant, or similar role.
Excellent organizational and time management skills.
Strong written and verbal communication abilities.
Proficient in Microsoft Office suite and other relevant software.
Ability to handle multiple tasks simultaneously and adapt to changing priorities.
High degree of professionalism and discretion.
Strong problem-solving skills and a proactive mindset.
Education and Experience:
Bachelor’s degree in Business Administration, Management, or a related field is preferred.
Previous experience supporting C-level executives is a plus.
