This position assists the owners with day-to-day scheduling, reports and information for meetings, and other tasks that allow the owners to focus on the most profitable meetings and priorities. The owners will rely on the EA to set meetings in desired times, communicate with internal and external parties regarding meetings, scheduling, needs, responsibilities, etc.
The owners will rely on this person to take daily tasks that bog the two of them down and enable them to have more focused times to work on hard tasks. This person is responsible with paving the way for the owners to focus on growth activities that expand Blue Atlas with new clients and revenue and expand our capacity with existing clients. This role is vital to growth of BA.
Daily Tasks
• Outline daily schedule
• Manage and optimize daily schedule and required tasks for the owners and the EA
• Prepare materials, reports, and information for each meeting
• Review needs and follow-up after meetings -> Schedule and organize the needs
• Communicate with clients and other parties through email/phone
• Draft correspondence to external parties as required
• Organize digital files for clients and company information
o Work with physical assistant (local to the owners) to organize physical files
Weekly Tasks
• Conduct research on industry information, vendor and product information, markets, and competitors
• Assist in managing receipts, payments, and invoicing -> Coordinate with bookkeeping team
• Manage office supplies and ordering
• Assist with family-related scheduling and organization
• Send thank you notes, order gifts, and related tasks associated with customer service and client retention
