We are currently seeking a highly capable and dedicated Personal Executive Assistant (EA) to serve as key support to the CEO.
As Personal EA, you will play a crucial role in managing his personal and professional responsibilities and assisting with various tasks related to the company’s operations.
This remote position requires exceptional organizational skills, a high level of language proficiency, and the ability to handle diverse responsibilities efficiently and discreetly.
Responsibilities:
Office Administration:
-Coordinate and carry out all office administration tasks, ensuring the smooth functioning of day-to-day operations.
Manage files and organize relevant documents for easy accessibility.
-Create and manage spreadsheets to track various data, projects, or reports, ensuring accuracy and organization.
-Perform data entry tasks on websites, spreadsheets, presentations, and other relevant platforms.
Schedule Management and Communication:
-Manage the CEO’s schedule, arrange appointments, and coordinate meetings with internal and external stakeholders.
-Effectively handle the CEo’s calendar, scheduling appointments, deadlines, and commitments to optimize time management.
-Respond to customer service or support emails, addressing inquiries, troubleshooting issues, and managing requests for refunds or assistance with logging in.
-Monitor and respond to inquiries on the businesses Facebook Page or website contact form in a professional and customer-friendly manner.
Travel and Event Coordination:
-Assist with making reservations for business-related events, conferences, or accommodation, ensuring all travel arrangements are well-planned.
-Facilitate travel arrangements for the CEO’s business-related trips, ensuring all logistics are well-planned and executed smoothly.
Personal Support for the CEO:
-Provide personalized support to the CEO, managing his schedule, organizing appointments, and ensuring he is well-prepared for both personal and professional engagements.
-Exhibit outstanding written and verbal communication skills to draft emails, compose messages, and handle all communication with stakeholders on behalf of the CEO.
-Collaborate with the CEO on special projects and initiatives, ensuring their successful execution and timely completion.
Business Support:
-Assist with administrative duties related to the business, such as scheduling meetings, drafting emails, and supporting other executives when necessary.
-Uphold the highest level of confidentiality and discretion when handling sensitive information related to both the CEO’s personal and professional matters, as well as confidential company data.
-Engage in seamless remote communication and coordination with team members, executives, and stakeholders using various virtual platforms.
Task Prioritization and Industry Knowledge:
-Skillfully prioritize and manage multiple tasks, ensuring that urgent matters are addressed promptly and efficiently.
-Familiarize yourself with the various services provided by the business, including Consultancy, Safety Training, Roof Safety, Rope Access, Equipment Servicing, and Equipment Sales, to better support the CEO and the business.
Continuous Improvement and Specialized Assistance:
-Proactively identify opportunities for process improvement and implement best practices to optimize efficiency and productivity within the executive office and the company.
-Offer support for specific aspects of the business, such as coordinating safety training sessions, handling equipment sales inquiries, or managing equipment servicing schedules.
-Contribute to creating Standard Operating Procedures (SOPs) and flowcharts to streamline business processes and enhance efficiency.
Desirable Qualifications and Skills Required:
Previous Experience:
Proven experience as an Executive Assistant or in a similar role, preferably supporting C-level executives, is highly desirable.
Language Proficiency:
Possess impeccable English language skills with exceptional written and verbal communication abilities.
Industry Awareness:
Familiarity with the services offered by Haz-Ed Services is advantageous, but not mandatory. A willingness to learn about the industry is essential.
Organizational Skills:
Demonstrated ability to prioritize tasks, manage time effectively, and handle multiple responsibilities with precision.
Tech Proficiency:
Comfortable with various communication and productivity tools, as well as remote collaboration platforms.
Discretion and Trustworthiness:
Proven track record of handling confidential information with the utmost discretion and trustworthiness.
