Here at Lightyn we call our Virtual Assistants “Lights”. A Light is a professional who provides personal support to the clients of Lightyn, typically a high-level executive, breadwinner, or parent. The Job description of a Light may vary depending on the needs of the customer, however we do not engage in a client’s business activities or personal finances.
Key Responsibilities
Maintain a positive, empathic and professional attitude toward clients at all times.
Managing the clients personal schedule: This includes scheduling appointments, School activities of the kids, travel arrangement and many more.
Managing household activities: house, car and lawn maintenance
Events planning: planning coordinating events, such as personal parties and other holiday celebrations.
Research: conduct research on behalf of their client, such as flow or process in getting necessary documents for travel, medical or any personal activities.
Responding promptly to clients inquiries.
Communicating with customers through various channels.
Acknowledging and resolving clients’ quests.
Processing appointments, orders, forms, applications and requests.
Keeping record of client interaction, transactions and activities.
Communicating and coordinating with colleagues as necessary.
Providing feedback on the efficiency and effectiveness of the client service process.
Ensure clients satisfaction and provide professional customer support
A Light is a very highly organized, detailed-oriented individual with excellent communication skills. They are typically self-motivated and able to work independently, as well as collaborate with others as needed. They should be able to manage multiple tasks simultaneously, and have strong problem solving skills.
Key Requirement:
Previous experience as a personal assistant is preferred.
General education degree
Strong communication skills: Since Lights work remotely, they must have excellent written and verbal communications skills to communicate effectively with their clients.
Time management and organizational skills: Lights should be able to prioritize tasks, manage their time efficiently, and stay organized to ensure that deadlines are met.
Technical proficiency: Light should be proficient in using various softwares and online tools, such as Microsoft office, Google Suite, Project management tools and communication platforms.
Attention to detail: Light should be detail-oriented and able to work accurately to minimize errors.
Flexibility and adaptability: Light should be able to adapt to different work environments and adjust their work style to meet clients’ needs.
Problem-solving skills: Lights should be able to identify problems and find solutions independently.
Confidentiality: Light often handles sensitive information, and they should be able to maintain confidentiality
and handle information with discretion.
Customer service skills: Depending on the clients needs, Lights may be required to handle customer inquiries, and they should have good customer service skills.
Relevant experience: Having prior experience in administrative or customer services roles is beneficial as a Light.
Overall, a Light should be a self-starter, proactive, and able to work independently with minimal supervision. They should also be able to maintain a high level of professionalism and adhere to their clients’ standards and expectations.
