INTRODUCTION TO TOMES HOMES:

Tomes Homes () is a small, but rapidly expanding property investment company based in the UK. Since the first property was purchased by Jackie, the founder, in 2014, Tomes Homes has expanded to own & manage over 100 homes. We are currently a very tight knit team of 16 across both the UK & the Philippines.

The primary business model of purchasing blocks of flats in Kent, renovating them and then bringing them to the Private Rented Sector is made possible through our investment partners, who choose to work with us not just for the great returns but also because we always aim to invest Responsibly and with Heart.

Tomes Homes is complimented by our sister companies Property Strategy & Property Business Insights () where we offer consultancy support to other property business owners in the UK to scale up their businesses.

We are on a mission to build great property businesses that can redefine the image of the property sector in the UK.

OVERVIEW OF THE ROLE:

For this role you must be skilled at and enjoy both Project & People Management in the property sector. You will find satisfaction in ensuring a smooth and well-oiled machine where both People & Process come together to get great results.

You will have excellent interpersonal, organisational and time management skills. You will love problem solving & have excellent research skills. You will have multiple responsibilities, so you must be able to prioritise a busy schedule – but also be able to reach out and ask for help if you are struggling.

As you will be managing a small team, you must be able to motivate and look out for others, and be able to to give candid feedback to help those around you to improve.

There are lot of laws and regulations to abide by in the UK property market so you must have excellent attention to detail, enjoy keeping up with all aspects of consistently changing regulation and love consistently improving processes to ensure we are up to date and operating as efficiently as possible.

For this role you must be a strong and tenacious individual with a strong sense of fairness and what is right or wrong. It is a challenging role, but for the right individual will provide huge learning and growth opportunities.

The Portfolio Management team looks after: tenant finds & check-ins/outs, tenant management & communication; maintenance & refurbishment; compliance; rent collection, arrears management & evictions; and re-mortgages.

YOUR ROLE WILL REQUIRE YOU TO…

– Project manage the whole portfolio management team ensuring that the portfolio is maintained to a high standard, all properties occupied in a timely manner, all rents received (or arrears escalated) and tenants are satisfied
– Update & report on team performance against Key Performance Indicators, and taking action when key metrics are off-track – reporting to the Company Director
– The Portfolio Management team comprises of approximately 6 individuals plus additional contractors – it will be your responsibility to ensure this team is running effectively. When required you will support to find and engage new team members
– Manage the portfolio management team to ensure smooth running. We have a combination of both on-the-ground maintenance and tenant support/negotiation team, alongside virtual team members overseas (in the Philippines)
– Support team members with more operational tasks as required (e.g. to cover days off/holidays or during busy times)
– Ensure all properties & tenancies are compliant at all times (e.g. gas/electrical safety certificates, EPCs, correct notices being served)
– Organise & maintain online information systems (on Arthur & Sharepoint)
– Deal with tenant concerns & complaints, and bring issues to a satisfactory conclusion for both the tenant & the company

ROLE REQUIREMENTS:
– Excellent written & spoken English??
– Desire to be part of a team (you will not be treated like an outsourced VA) with a desire to understand the full company strategy and your role in it – you will be included in weekly team meetings
– Ability to work predominantly between 9am to 5pm UK hours Monday-Friday
– Saturday work twice per month will be required from 10am – 2pm UK time
– Must have an excellent quality internet connection that can accommodate calls on Zoom/Teams and ensure quality on VOIP as required
– Access to a modern & quality laptop

WORK EXPERIENCE:
– Must have previous experience of UK property lettings/management
– Previous experience managing a small team

PC SKILLS/SYSTEM KNOWLEDGE:
– Excellent computer skills (you are quick and confident at whatever is thrown your way from a technology perspective)
– MS applications (Excel, PowerPoint, Word, etc)
– Microsoft 365 (Teams, Outlook, Microsoft office suite)
– Ideally experience using Arthur and Asana

WHAT WE CAN OFFER:
– Salary of £5-6 per hour (dependent on experience)
– In addition to your hourly wage you will get?13th?Month Bonus?
– You will be entitled to 27 working days annual holiday per year including entitlement to seven statutory public holidays, prorated in accordance with your hours of work. The paid holidays mentioned above are: New Year’s Day, Good Friday, Independence Day, All Saints Day, Christmas Eve, Christmas Day, New Year’s Eve (7 Days)
– Annual team social / get together (in 2024 this will be on Palawan!)
