Job Description

1) Our two-person legal firm wants to automate part of the lead-qualifying process for our paid inbound leads.
We’re open to suggestions on tools as we migrate from phone and email to new simple CRM and cloud tools.1) At present, we receive Customer Leads from multiple providers via email.
Our primary goal is to increase the number of leads we can effectively handle between us. While our business model is centered around personalized service, we are keen to automate as much as possible.
We need to respond to inbound leads quickly and in a personalized manner, given the competitive landscape where other firms are also receiving the same inbound leads.
2) All inbound leads come via email: Name, Contact Info, Address, Issue Description, and Lead Source. We want to automate scraping the email (using ) and creating a new contact record in an easy-to-use system. We’ve identified a possible tool called OnePageCRM as an option but were open to suggestions for ease of use. Our firm only has two resources: a lead qualifier/chaser on inbound leads and an attorney who does free consultations after leads are qualified. Our process is pretty simple between the two. Ideally, we want something that will track our progress and close rates by lead provider etc.
3) We need an easier way to manage leads than manually responding to them and chasing via email, phone, or text. We’re open to tools such as DialPad or SMS platforms that will integrate into our Calendly or similar tools.
OUR BASIC PROCESS
Our first step is determining if an inbound lead is worth responding to. If not, we mark it as bad and get a rebate from the provider. If yes, we call directly asap. If the prospect has a case, we can support then a free consult with our attorney is scheduled. However, generally, leads do not pick up the phone the first time because they do not know our office, so we need to text and call several more times manually with introductions and schedule options to try and set up an initial qualified call. We want this follow-up part to be automated in a sequence of up to 8 touches: two calls, Four texts, and Two Emails over about a week. This follow-up process is time-consuming, and we need help automating text messaging and emails and understanding whether the lead has responded to a text message and scheduled an appointment or if, after a day or two of texts/emails, we need to call again main objective is to ensure we get an initial call from every inbound lead we pay to receive. Perhaps sending a polite text at the very start introducing ourselves with a link could be a fast approach for change even before we qualify it as good or bad, but given the nature of our business, we do want to maintain a personalized also have an issue with missed appointments once scheduled, so sending auto text reminders in the morning of their call with a confirmation, if possible. The issue is that most of our leads don’t use standard calendar apps, and they forget. Right now, we qualify about ten leads per day. If we build the right system, we can scale this up, so we want to choose tools that can possibly add team members in our success.
We are open to suggestions on tools if, in your experience, there are more straightforward ways to execute this personalized lead qualification and appointment-setting process.
