Job Description

The Procurement and Inventory Specialist is instrumental in enhancing our procurement processes and inventory management. This role requires collaboration with vendors to negotiate pricing, maintain procurement lists, and ensure accurate inventory for client projects and agreements. The specialist will assist in monthly account reconciliations, transition clients to standard software stacks, and support strategic budget preparation.

Primary Duties:

Collaborate with inside sales and vendors, like TD Synnex and their Lenovo team, to secure advantageous pricing.

Develop and maintain procurement standards for IT hardware, software, and accessories.

Perform monthly account “true-ups” to ensure billing accuracy and client satisfaction.

Assist in transitioning clients to standardized software solutions and identifying legacy systems.

Organize data and prepare reports for strategic planning and budgeting for client organizations.

Manage purchase orders, tracking, and verification of received items. Address discrepancies as needed.

Coordinate with project teams and clients for project scheduling and readiness.

Maintain up-to-date inventory and financial records to ensure accuracy in billing and procurement.

Additional Duties:

Facilitate the return process for incorrect or faulty items and ensure proper credit from vendors.

Assist in the removal of terminated employees from system tenants and notify customers accordingly.

Contribute to the continuous improvement of procurement and inventory processes.

Qualifications & Skills:

Proven experience in procurement, inventory management, or related field.

Strong negotiation and organizational skills.

Excellent communication abilities for effective vendor and team interactions.

Proficiency in English, capable of understanding and using business terminology.

Knowledge of IT products and software licensing preferred.

Ability to work independently with a high level of initiative.

Strong data entry skills and a knack for numbers.

Excellent organizational and time management skills.

Effective written and verbal communication skills.

High school diploma or general education degree (GED), or one to three years related experience and/or training, or equivalent combination of education and experience

Computer proficiency.
