Job Description:
As a Product Research and Administrative Virtual Assistant, you will play a pivotal role in ensuring the success of our e-commerce operations. You will be responsible for conducting thorough product research, managing administrative tasks, maintaining account health, ensuring smooth daily operations, compliance, exceptional customer service, inventory management, payroll processing, and reporting. These tasks support various aspects of our business to streamline operations and enhance efficiency.

Reports to: Owner, Business Development Manager.

Responsibilities:
1. Product Research:
– Conduct comprehensive market research to identify trending products, emerging niches, and potential suppliers.
– Analyze competitors’ offerings, pricing strategies, and customer reviews to inform product selection and pricing decisions.
– Collaborate with the marketing team to develop compelling product descriptions, features, and benefits to optimize sales.

2. Supplier Management:
– Source and vet potential suppliers, negotiate pricing, and establish beneficial partnerships to ensure competitive product offerings.
– Manage supplier communications, including inquiries, order placement, and inventory management to maintain adequate stock levels.

3. Administrative Support:
– Assist with administrative tasks such as data entry, order processing, and inventory management using e-commerce platforms or other relevant software.
– Coordinate logistics for product shipments, track deliveries, and handle any shipping-related issues or discrepancies.

4. Customer Service:
– Provide excellent customer service by promptly addressing inquiries, resolving issues, and ensuring customer satisfaction to foster long-term relationships.

5. Documentation and Reporting:
– Maintain accurate records of product listings, supplier information, and sales data.
– Generate reports on key performance indicators (KPIs), sales trends, and inventory turnover to inform strategic decision-making.

Business Health & Daily Operations:
Manage customer reviews, including submitting removal requests for negative reviews.
Warehouse and Inventory Management
Coordinate with warehouse and suppliers, manage inbound orders, and address issues with missing, damaged, or undelivered orders/items.
Manage stranded or restricted inventory and take necessary actions to resolve issues.
Prepare shipping plans, ensure accurate inventory records, and manage aged inventory.
Conduct inventory cleanup, including removal orders for unfulfillable and fulfillable inventory.

Business Operations & Communication
Maintain integrity and completeness of records. Create and maintain weekly & monthly reports.
Communicate effectively with warehouse, suppliers, and ecommerce marketplaces, ensuring smooth operations and prompt resolution of issues.
Manage emails and prioritize urgent matters related to ecommerce operations.
Financial Management & Reporting
Upload all company documents to & Google Drive.
Perform accurate payroll computation and manage invoices.
Update Inventory Lab and Sellerboard with accurate COGS.
Manage cash flow, including credit card reconciliation in QuickBooks.

Education and Experience
– A Bachelor’s degree in Business Administration, Marketing, or a related field is preferred.
-At least 1 year of substantial work experience in product research and administrative tasks, preferably in an e-commerce context.
Required Tools:
-Desktop/laptop with specific specifications, a stable internet connection, noise-canceling headphones, a web camera, and a quiet and professional workstation.

– Bachelor’s degree in Business Administration, Marketing, or a related field is preferred.
