As a Program Manager, your role will involve overseeing the entire journey of mentees, from their onboarding to advancement and eventual offboarding. This entails maintaining the functionality of our Members Portal, facilitating clear communication between mentees and program coaches, and ensuring that all interactions contribute to a supportive and enriching environment. Collaboration with our team of Coaches and Operations Manager is paramount, as you collectively uphold program standards and deliver exceptional service to our clientele. Your responsibilities will also include coordinating live Innercircle Masterminds, managing coaching calls, and scheduling personalized 1:1 sessions, all while maintaining an organized calendar and disseminating important program updates. Furthermore, you’ll be entrusted with maintaining the integrity of our program through meticulous documentation and quality control
Key Responsibilities:
Onboarding, Advancement & Offboarding of new mentees in Division 3 Mentorship Program.
Maintenance and quality control of the Members Portal.
Communication management with enrolled members across different tiers and program coaches.
Billing oversight and coordination.
Collaboration with Client Success Coach and Operations Manager.
Setup and coordination of live Innercircle Masterminds.
Conducting Steps & SOPs coaching calls.
Scheduling and coordination of 1:1 coaching calls.
Calendar management and Innercircle announcements.
Maintenance of administrative systems.
Documentation of mentee Client Success journey, including assignments, deep dives, and coaching calls.
Quality control of Program Code of Ethics, SOPs, KPIs, and Templates.
Key Responsibilities:
Administrative Support: Provide essential administrative assistance, including managing emails, scheduling appointments, and organizing documents.
Communication: Serve as a point of contact between team members and external partners, maintaining clear and effective communication.
Data Management: Assist in maintaining and updating databases, ensuring accurate and organized records.
Calendar Management: Help manage calendars and schedules, ensuring that appointments and deadlines are met.
Documentation: Assist in the preparation and organization of documents, reports, and presentations.
Qualifications:
Proven Experience: A minimum of 2 years of demonstrated experience as a Program Manager or in a similar role
Organizational Wizard: Strong organizational and time management skills to keep everything running smoothly.
Effective Communicator: Exceptional written and verbal communication abilities to ensure clear and efficient interactions.
Tech Savvy: Proficiency in Hubspot CRM, Click Up and Slack
Self-Driven: A self-motivated, reliable team player with the ability to work independently.
Passion for Music: While not mandatory, a passion for music and vocal education would be a welcomed asset.
