Job Description:
We are seeking a highly organized and responsible Project and Accounts Coordinator to join our team. This position requires excellent communication, time management, and organizational skills. Your role will be vital for maintaining financial records, handling project setups and finalization, general administrative tasks, and providing Microsoft Teams support.
Responsibilities:
Accounts Receivable

Create and manage invoices.
Monitor accounts to identify outstanding debts and pursue collections.
Develop payment plans and coordinate with clients on their implementation.
Record payments, update team members, and maintain comprehensive accounts receivable records.
Write off bad debts as necessary.
Project Coordination

Initiate projects by sending out questionnaires and requesting site access.
Maintain accurate and updated client information.
Set up projects in the project management system.
Add templates to projects and assign tasks within the project management system.
Ensure timely return of client’s questionnaires.
Assign staff to projects, ensuring balanced workloads and project requirements are met, in conjunction with Team Leader.
Finalize Project

Assist in testing new sites for functionality and user experience.
Run SEO hygiene reports to ensure website optimization.
Request client reviews upon project completion.
Administrative Duties

Set up regular team meetings and ensure efficient communication among team members.
Track staff birthdays and plan necessary celebrations or recognitions.
Record staff leave requests.
Provide timely and accurate status updates to team and management.
Handle incoming emails and redirect them to the appropriate departments or individuals.
Project Work

Assist with testing new websites.
Microsoft Teams
——————————————————–
Perform Microsoft Teams admin duties, such as adding emails, creating teams, and filing.
Communication skills:
Good written English is needed. Spoken English is a bonus.
Qualifications & Attributes:
Excellent organizational skills, ability to prioritize, and comfortable working independently.
High degree of attention to detail.
Prior experience in project management and/or accounting would be an advantage.
Proficiency in Microsoft Teams, Shopify, and other project management tools would be an advantage.
