We are seeking an organized, proactive, and eager-to-learn project assistant to support a dedicated professional driving change in climate action and sustainability. As a cross between a virtual assistant and project officer, you will manage inboxes, expenses, calendars, travel, and provide research for speeches, policy documents, and lesson plans.
The ideal candidate has initiative, attention to detail, and passion for social impact work focused on sustainability, climate action, justice, and leadership development. You should thrive with flexible remote work and diverse projects and tasks, completing high-quality work with minimal supervision.
We’re looking for someone available 10-40 hours/week (across 3+ days), able to commit for a year (with probation period). Hourly rate for up to 15 hours; other payment structures negotiable for 15+ hours. Full-time offers a monthly paid day off.
The Australia-based client has a portfolio career in climate action, higher education, leadership development, and sustainability. They give speeches, contribute articles, and have governance roles in climate advocacy, policy, and philanthropy. The client values attention to detail, direct communication, initiative, and getting the job done. They provide direct feedback to support growth, value open communication, and are clear when instructions have no flexibility.
Your responsibilities include:
– Calendar, inbox, and travel management
– Desktop research for articles, speeches, etc.
– Project management (minutes, follow-ups, scheduling)
– Stakeholder management (updating contacts, maintaining communication schedule)
– Process optimization and documentation
– Brainstorming and being a sounding board
– Expenses, invoices, and file management
Expect onboarding, weekly check-ins, WhatsApp/Slack communication, Asana/email task completion, progress digests, and performance coaching.
You’ll excel if you enjoy variety, problem-solving, hard questions, taking initiative, and having a results-driven orientation.
Requirements:
– 2+ years work experience (ideally as virtual/project assistant)
– Proficiency in Google Suite, Microsoft (Outlook, SharePoint), Asana, Slack, Notion, Airtable
– English proficiency
– 10-40 hours/week availability (across 3+ days)
– 30%+ overlap with client’s GMT+10 7:30am-10pm
– Own laptop and stable internet
– 1+ year commitment
