We are looking for a Project Coordinator to join our team. This role ensures that all projects are efficiently administered from client sign-off to project completion including scope clarification, WHS, site reporting, procurement, financial reporting, and certification.
Responsibilities:
1) Set up project files + site folders.
2) Review scope including plans and highlight to the PM any items that require clarification/confirmation.
3) Arrange a handover meeting from Sales including Sales Director/Estimator/PM/Furniture PM.
4) Create a project program for approval by PM.
5) Ensure all items that require clarification/confirmation are resolved in time to meet program deadlines.
6) Coordinate all site inductions and site-specific WHS documentation.
7) Coordinate all documentation required for CDC and submit it to the certifier.
8) Ensure all plans required for construction are signed off prior to construction and & the site team and subcontractors have the correct versions.
9) Request quotes for any trades not previously quoted and make a recommendation to PM.
10) Arrange for samples to be delivered if required and follow up for approval.
11) Procure items as required.
12) Engage sub-contractors in line with POD procedures.
13) Ensure site teams provide end-of-day reporting daily including photos & hours on site.
14) Engage the Furniture team where required, ensuring complete handover is provided & program updates are provided.
15) Reconcile sub-contractor claims against quotes/PO and send for payment.
16) Complete weekly program status with Site Managers and advise PM.
17) Maintain budget reports and provide weekly reporting to PM.
18) Propose progress claims in line with the agreed terms of the contract for approval by PM.
19) Compile variations for approval by PM.
20) Compile works to complete, and defects register in consultation with Site Manager/PM.
21) Arrange certifier inspection, coordinate all certificates required for OC, and submit to the certifier for approval.
22) Complete recycling report and Operations + Maintenance manuals where required, at project completion.
