Project Coordinator/Administrative Assistant

I am looking for a full-time project coordinator/administrative assistant to provide me with administrative and project coordination support. This is not a flex job–you will begin working 40 hours per week from 8 am – 5 pm Pacific Standard Time (US) 5 days per week (Monday – Friday). Within 60 days, if you do well you will get a raise.

You must have great attention to detail and make minimal mistakes. I need you to be proactive, an independent thinker, and always look to see where you can provide more value to me and the projects we work on.

Below is a general overview of the responsibilities and tasks you can expect in this role. There will be more, but consider this a preview of the role.

Responsibilities

Email/Calendar/Meetings Management
– You will manage my business and personal calendars (e.g. schedule meetings and send calendar invites on my behalf).
– You will check and respond to emails on my behalf as necessary.
– You will type up and distribute meeting minutes.

Project Coordination
– You will provide project support to a wide portfolio of initiatives.
– You will draft project plans and update project trackers.
– You will draft and update project status updates and send them to project stakeholders.

Lead Generation
– You will source contracts that meet the provided project and client criteria
– You will apply to contracts via portals as directed
– You will create and track status of all contract leads in a project tracker using Trello

Skills and Qualifications

– Fluent/Native-level written and spoken English
– Proven capabilities in project management (must be highly organized and detailed oriented).
– Self-drive learner–you are happy to research how to do things you don’t know to accomplish tasks.
– Highly proficient in productivity software like Microsoft Office (PowerPoint, Outlook, Word, Excel) or Gsuite (Docs, Sheets, Slides, Gmail).
– Experience using project management software (SmartSheet, Trello, MS Project, etc.).
– 50 wpm typing speed
