JOB OVERVIEW

PROJECT COORDINATOR

We are in search of a highly proactive and organized Project Coordinator to provide post-sales support to our team, and offer great customer service to our clients.

This is a full-time ‘work from home’ role, Monday to Friday.

You’ll be directly responsible for efficient internal project management and helping to deliver an exceptional client experience, taking over project administration once the sales team has received approval from the client.

As a Project Coordinator, you will be responsible for overseeing a variety of coordination and administrative tasks relating to software customisation and event logistics, ensuring our product is delivered seamlessly at corporate events, and executed to meet our high standards.

Key Responsibilities:

– Lead pre-event delivery activities, ensuring each event is prepared for success. This will include internal liaison with developers, sales team and graphic designers, as well as external liaison with suppliers and venues.
– Follow the checklists and processes in place to deliver the expected client experience, whilst co-ordinating third parties to deliver the experience onsite at events (often simultaneously) at multiple locations across Australia and internationally.
– Organise all necessary event logistical aspects including equipment booking and delivery, and software customisation.
– Develop and maintain comprehensive event schedules to track the status of delivery of the service to clients.
– Handle all necessary event and logistics permissions and ensure compliance with legal requirements.
– Collect feedback post-event for continuous improvement.
– Conduct outbound marketing activities during periods of low workload.
– Proactively make suggestions for process and system improvements to improve business efficiency.

Qualifications & Experiences:

Ideally you will have a minimum of 3 years relevant experience in a fast-paced, corporate organisation, providing back-end administrative and project support.

Direct client liaison or customer service experience (email and/or phone-based) would be beneficial, but not essential.
Demonstrated experience in post-sale remote service delivery through exceptional organisation and project management of tasks.

A proactive mindset with excellent organizational and multitasking skills.
Exceptional command of the English language, both in verbal and written form.
Ability to work independently, take initiative, and manage projects to completion.
Willingness to work flexible hours in accordance with the Melbourne time zone.
Strong interpersonal skills, with the ability to engage stakeholders effectively.
Basic Project Management software experience (such as Trello, Asana, Slack or similar).

Attention to detail. Able to create accurate content including strong spelling and grammar.

Process-driven (able to write clear and simple procedures).
Autonomous (able to work with minimum supervision)
Trustworthy (able to maintain confidentiality)
