Job Description:
We are seeking a skilled Project Coordinator/Operations Specialist to join our team and oversee the successful implementation of our projects across multiple departments: Operations (OPS), Education (EDU), Services (SER), Data (DATA), and Systems (SYS). The ideal candidate will have experience coordinating with developers, clients, and internal services, ensuring smooth project execution, improved data monitoring practices, and efficient operations management.

Scope and Focus:
– Project Management: Focuses primarily on planning, executing, and completing specific projects within the organization.
– Task Coordination: Ensures that project tasks are coordinated, timelines are met, and project goals are achieved.
– Stakeholder Communication: Acts as a liaison between the project team, stakeholders, and sometimes clients, ensuring clear and consistent communication.
– Resource Allocation: Manages the allocation of resources (time, budget, personnel) to ensure project success.

Key Responsibilities:
– Project Planning: Develops detailed project plans outlining scope, objectives, timelines, and resource requirements.
– Execution and Monitoring: Manages project execution, monitoring progress, and making adjustments as necessary to ensure project objectives are met.
– Risk Management: Identifies potential risks and develops mitigation strategies.
– Documentation: Maintains comprehensive project documentation, including status reports, meeting minutes, and change logs.
– Stakeholder Management: Communicates project status, issues, and changes to stakeholders.
– Project Completion: Ensures all project deliverables are completed on time, within budget, and to the required quality standards.
– Coordinate project activities: Ensure all project phases across OPS, EDU, SER, DATA, and SYS are documented and completed timely.
– Data Monitoring: Implement improved data monitoring practices to track project progress and outcomes effectively.
– Communication: Clarify reporting lines and facilitate clear communication between the project manager and team members.
– Collaboration: Collaborate with developers, clients, and internal services to ensure alignment and successful project delivery.
– Support: Assist in the development and maintenance of project documentation, including project plans, status reports, and risk management plans.
– Monitor Performance: Monitor project performance, identifying and resolving issues that may arise.
– Stakeholder Updates: Provide regular updates to stakeholders on project status and any adjustments needed to meet objectives.
– Budget Management: Support the project manager in managing project budgets, resources, and timelines.

Skills and Qualifications:
* Strong project management skills and familiarity with project management tools (e.g., AirTable, Google Workspace).
* Proven experience as a Project Coordinator or similar role, with a Focus on projects in Operations, Building Learning Materials for Education, Managing Client Services, Managing and Building Data Analysis Reports, Building Creatives, Landing Pages, Systems and Automation
* Strong understanding of project management principles and methodologies.
* Prior experience coordinating with developers, clients, and internal services.
* Excellent organizational and multitasking skills.
* Effective communication and interpersonal skills.
* Ability to manage budgets and resources efficiently.
* Proficiency in risk management and problem-solving.
* Ability to implement improved data monitoring practices.
