Job Description

Role:
We’re looking for a stellar executive assistant/project coordinator who will oversee a wide range of tasks. We have multiple lines of businesses and your time will be split among all of them. 20% of the time will be spent on Executive Assistant and Admin tasks for the CEO.

Responsibilities:
-Organizing documentation and internal training
-Manage audit projects and task management
-Manage employee and contractor onboarding and offboarding process
-Researching new technologies and tools and provide recommendations
-Attend meetings, create agendas, and take notes
-Manage and triage all emails
-Manage team task tracker and send regular updates in Slack
-Maintain a CRM and update it regularly
-Data entry as required
-Keep up to date with industry trends and summarize for team
-Book flights, Airbnbs, transport services, help with travel in general.
-Write articles for newsletters.
-Create video recording guides for tools and processes for the team.
-Follow ups with clients and team on tasks and deliverables.
-Complete basic HR related tasks for team onboardings and offboardings.

Requirements & Experience
-Minimum 2-4 years of experience working with US-based companies
-Proficient in English (Reading, Writing, and Speaking)
-Attention to detail
-Ability to manage time and prioritize tasks
-Excellent communication
-Excellent organizational skills
-Willingness to learn and interest in tech and new software
-Excel and Google Sheets experience
-Be able to receive instructions via voice notes in Whatsapp or Slack
-Be able to join team calls on Video on a regular basis

Environment & Hardware:
-Decent computer (PC or Mac)
-Dual Monitor Setup (Nice to have – not required)
-Anti-virus software installed
-Strong Internet Connection
-Dedicated work desk
-Quiet workspace
-Good microphone and camera
-4-5 hours of overlap with PST Time Zone Monday-Thursday

Nice To Have:
-Social Media Management
-Amateur at video editing software
-Beginner at Canva or other photo editing software
-Experience using Slack, Asana, Monday, JIRA
-Experience using Google Data Studio and Google Analytics
-Interest and experience using AI tools and LLMs
-Created apps using No-Code tools
-Python or programming experience
-Participated in SOC2, ISO 27001 or similar audits
