Job Brief

We are seeking a skilled, thoughtful and proactive individual to join our company as a Project Executive. We are a thought leadership agency specialising in research and stakeholder engagement in sustainability, finance and technology. We are a fully remote and small yet global business headquartered in Australia. In this role, you will provide our partners with essential project management, research, administrative and marketing support. This role is ideal for an ‘all-rounder’ – someone who wants to get involved in every part of the business. The ideal candidate should possess critical thinking skills matched with outstanding organisational capabilities, possess impeccable written English, and take a genuine interest in topics such as sustainability, finance and technology. Editorial writing, analysis and editing experience is not a prerequisite but is a plus.

Requirements ?
Proven experience in project management, administrative support and marketing-related tasks.
Strong organisational and multitasking abilities, with good attention to detail.
A keen interest in and awareness of issues relating to responsible business, ESG and sustainability.
Knowledge of and experience working in the business and finance sectors. Our clients are CXOs in Tier 1 serving B2B markets, and the project executive must be able to communicate with confidence and authority to this group.
Be a rigorous and analytical critical thinker who is able to produce original ideas and analysis.
Outstanding written and verbal communication skills.
Proactive and self-motivated with the ability to work independently and as part of a team.
Strong problem-solving skills and ability to adapt to changing priorities.
Demonstrated professionalism and ability to maintain confidentiality.
Ability to translate complex ideas into compelling, professional presentations.
Proficient in Microsoft Word, Excel, Powerpoint and Google Suite; and proficient in or able to quickly learn digital project management and communication tools such as ClickUp, Capsule, Toggl and Evernote.
Proficiency in using LinkedIn for networking and relationship-building and familiarity with Google Ads or other digital advertising platforms is a plus.
Project management support

Provide project management support and act as the coordinator across multiple client projects. Tasks may include setting up and maintaining client projects in ClickUp (project management system), managing meeting invites, sending regular client updates, creating client presentations in PPT and coordinating tasks internally.
Coordinate research interviews with senior executives for client projects. Tasks may include contact detail research, scheduling, preparing briefing materials and follow-up materials, maintaining notes in Capsule (CRM) and editing transcripts for accuracy.
Coordinate roundtables, virtual webinars and events. Tasks may include contact detail research, preparing and sending invitations, managing RSVPs, sending reminders, coordinating travel and other logistics, and sending briefing and follow-up materials.
Conduct desk research on topics related to ESG, sustainability and other subjects to support client projects; maintain research databases in Evernote.
Develop decks that outline ideas and data into visually engaging, professional presentations.

Marketing and new business support
Support partners with new business activities. Tasks may include contact detail research, thorough record-keeping in Capsule, appointment scheduling and follow-up, preparing presentations in PPT and/or Canva.
Research and identify target markets, industries, and individuals to optimize new business and marketing efforts.
Utilise LinkedIn as the primary marketing platform to connect with potential clients, share content, and build professional relationships.
Stay informed about industry trends and developments, making recommendations for improvements and updates to new business and marketing activities.
Support the implementation of Google Ads campaigns, including keyword research, ad creation, and performance tracking.
Analyze marketing data and metrics to assess campaign effectiveness and identify areas for improvement.
Collaborate with partners to ensure consistent branding and messaging across all new client, new business and marketing channels.
