Project Coordinator

The Project Manager has experience in either construction, landscape or snow removal with good general project management skills. This person will take the workorders, budgets and schedules that are created from the salesperson and create a schedule in our Google Calendars so everyone can see the project scheduled. You will schedule according to labor availability and labor capability consulting with the owner or operations manager. You will oversee that calendar daily, and make sure that people are staying on schedule by checking timesheets against the hours allocated for project against the calendar schedule that you set up. You will be responsible for calling if, when you are examining their timesheet, they have worked extra or not enough hours that the budget indicates to find out why and thereafter document the reason. You will coordinate with staff and subcontractors. You will also be responsible for ordering job materials ahead of the scheduled dates to ensure materials are ready for pick up. This too will be coordinated by you with the labor team. You must have the ability to resolve issues or escalate to your manager, through effective decision making. The role requires organizational skills, attention to detail and the ability to handle multiple projects simultaneously.

Responsibilities:

• Working closely with sales and business leads to schedule each project, track and monitor labor, and order materials.
• Must be able to map out multiple overlapping project schedules in Google calendar with the know-how to revise and solve issues regarding labor discrepancies. Able to identify risks.
• Participate and facilitate project schedule review meetings and attend other meetings as required.
• Coordinate and assist in all office administration duties regarding projects, such as data entry, maintaining digital documents, preparing materials, contracts, answering and writing emails, answering and logging calls.
• Must be solution oriented with ability to calm customers and work to figure out answers.
• Excellent follow-through regarding assignments, scheduling, contracts, customer service and all areas pertaining to the business.
• The job will require occasional early/late nights in CST, and weekends during snow events to help with dispatch and customer service.

Skills Requirements

• Experience creating schedules and managing varying types and sizes of projects
• Strong communication and problem-solving skills, ability to work independently
• Basic understanding of construction, landscape and or snow business
• Ability to work with and learn a variety of software
• Must be a team player and work in close collaboration with all staff
• Excellent customer service skills
Must bring a positive attitude daily to the work environment regardless of problems that arise
• Minimum five (5) years’ experience in a similar role in a similar industry.
