Position Overview:

We are seeking a highly organized and motivated Project Manager/ Virtual Assistant to join our team. The Virtual Assistant will support the Senior Management team with administrative tasks and will manage cross-functional projects. This role is ideal for a detail-oriented individual who excels in building and managing project plans, multitasking, problem-solving, and collaborating with diverse stakeholders.

Key Responsibilities:

Project Management: Build and manage project plan with deliverables and due dates. Coordinate and oversee various projects from inception to completion, working with cross-functional stakeholders to ensure deadlines and objectives are met.

Team Communication: Serve as a central point of contact between project team members, ensuring information flows efficiently and everyone is aligned on project goals.

Documentation and Meeting Support: Maintain accurate records, documents, and reports related to projects, tasks, and team activities. Attend meetings and serve as the note-taker, ensuring comprehensive meeting notes are taken and distributed.
Follow up after meetings to ensure all tasks are executed by the agreed deadline.

Scheduling: Manage calendars, appointments, and meetings for team members, scheduling and rescheduling as needed.

Email Management: Monitor and respond to emails, filtering and prioritizing messages for efficient communication.

Research: Conduct research on various topics, competitors, and industry trends as needed.

Administrative Tasks: Handle administrative duties such as data entry, file management, and preparing reports.

Qualifications:

Proven experience as an Executive Assistant or Virtual Assistant to a large team.
Strong project management skills with the ability to multitask and prioritize effectively.
Excellent communication skills, both written and verbal.
Proficiency in using project management tools and software.
Strong organizational and time-management abilities.
Attention to detail and problem-solving skills.
Self-motivated and able to work independently.
Familiarity with Adobe is a plus.
