Position Overview:
We are seeking an organized and proactive Project Manager/Administrative Support professional to support our client who is a real estate professional. This role will play a crucial part in the successful execution of various projects, as well as providing essential administrative assistance to the business owner. The ideal candidate should possess a keen eye for detail, excellent communication skills, and the ability to manage multiple tasks efficiently. Key Responsibilities:
Project Management:
? Oversee and manage projects, including but not limited to social media content management, event planning, property and investment listings and vendor coordination.
? Oversees customer relationship management for all clients and identifies best practices to maintain healthy and productive business relationships with prospects, past and current customers.
? Collaborate with internal and external stakeholders to ensure project goals are met on time and within budget.
? Coordinate with vendors such as web designers, marketing agencies, and social media contractors to ensure seamless project execution.
? Organize and facilitate meetings, ensuring all necessary materials and resources are prepared and distributed.
Administrative Support:
? Provide comprehensive administrative assistance to the business owner, ensuring smooth day-to-day operations.
? Manage the business owner’s calendar, schedule appointments, and coordinate meetings, ensuring optimal time management using tools such as Calendly and Google Calendar.
? Handle emails, calls, and other communications in a professional and timely manner, prioritizing urgent matters.
? Conduct industry-specific research using best practices resources and technologies that result in accurate findings.
? Assists business owner with preparing presentations and other materials for educational purposes.
? Assist with travel coordination, including booking flights, accommodations, and transportation as required.
Requirements:
? Bachelor’s degree in Business Administration, Project Management, or related field experience preferred.
? Proven experience in project management, preferably in a diverse and fast-paced environment.
? Strong organizational skills with the ability to manage multiple tasks simultaneously.
? Excellent written and verbal communication skills.
? Proficiency in using project management tools and software.
? High level of proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
? Ability to use and learn new systems including Follow Up Boss, Mojo, Go High Level, Bright MLS, Google Sheets and Google Slides
? Proficiency is using AI-tools and resources
? Proficiency and familiarity with social media mediums including YouTube, TikTok, Facebook and Instagram
? Analytical ability to analyze real estate deals that will result in profitability; or possess the willingness to learn
? Ability to adapt to changing priorities and work under pressure to meet deadlines.
? Prior experience in administrative support roles is a plus.

Working Hours and Compensation:
? Monday to Friday, 9:00AM to 2:00 PM (EST working hours).
? Flexibility to respond to emergencies if requires during evening hours between 4:00PM and 6:00PM EST.
? Available twice per month for evening webinars from 7:00PM-8:30PM.
? Monthly compensation in the range of $650 to $900, commensurate with experience and qualifications.
