Work Schedule: Monday through Friday, 9-6 EST (subject to Sponsor’s needs)

Training Period: Not specialized; no additional training needed

Qualifications:

Minimum of 2 years of experience as an Executive Assistant
Minimum of 2 years of experience as a Project Manager
Experience with bioinformatics is a plus but not required
Experience handling and maintaining larger projects, completing spreadsheets, cross-referencing data, and placing large volumes of individual orders
Outstanding communication skills, both written and verbal
Proficiency in Gmail, Google Suite, LOOM, Microsoft Office Suite, and Slack
Strong organizational and multitasking abilities
Ability to act as the primary liaison between the laboratory, research department, and clients, providing timely and accurate information on services and product inquiries, along with drafting contracts and other important documents

Daily Work Description:

In this pivotal role, you will support the executive team in task management, project management, and data management. You will collaborate with stakeholders to devise execution plans, maintain project management software (Asana, , ClickUp, etc.), make status updates, manage data, and add new tasks as needed. Daily communication, either through meetings or Loom videos, will include presenting top tasks, seeking priority clarification, and breaking down priorities into weekly and daily tasks.

Responsibilities:

Collaborate with stakeholders to devise task execution plans
Conduct frequent meetings with clients to ensure task progress and prevent duplicate work
Maintain project management software by inputting tasks, updating statuses, and adding new tasks as required
Send daily updates (or utilize tools like Loom) to clients, highlighting top-priority tasks
Solicit input from clients regarding task priorities and break them down into weekly and daily objectives
Familiarity with Agile methodologies and the ability to adapt project management approaches based on project requirements
Proactively identify areas for improvement in project processes and implement enhancements
Strong documentation skills, including the ability to create detailed project plans, reports, and documentation for clients
Collaborate with team members to ensure data consistency across various projects
Utilize data management tools and software to streamline data handling processes
Manage and organize large datasets, ensuring data integrity and accuracy
