Job Summary:
The Project Manager – Event Planner will be responsible for the successful planning, coordination, and execution of events from start to finish. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple projects simultaneously. The ideal candidate will have a passion for event planning, strong leadership capabilities, and a creative approach to problem-solving.
Key Responsibilities:
Event Planning and Coordination:
-Plan, design, and produce events while managing all project delivery elements within time limits.
-Liaise with clients to identify their needs and ensure customer satisfaction.
-Conduct market research, gather information, and negotiate contracts prior to closing any deals.
-Coordinate all operations, including venue selection, budget preparation, logistics, and on-site management.
Team Management:
-Lead and motivate a team of event staff and volunteers to ensure the smooth execution of events.
-Assign tasks and responsibilities to team members and ensure deadlines are met.
-Conduct regular meetings to provide updates, delegate tasks, and resolve any issues.
Budget Management:
-Develop event budgets, track expenses, and ensure events are delivered within budget.
-Negotiate with vendors and suppliers to secure the best possible rates.
-Prepare financial reports and analyze event outcomes to improve future planning.
Vendor and Stakeholder Coordination:
-Establish and maintain relationships with vendors, sponsors, and partners.
-Ensure all event aspects align with the company’s goals and brand.
-Communicate effectively with all stakeholders to ensure seamless coordination.
Marketing and Promotion:
-Work with the marketing team to promote events through various channels, including social media, email campaigns, and advertising.
-Design promotional materials and manage event-related content on the company’s website.
Qualifications:
Proven experience as an Event Planner or Project Manager in the events industry.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Ability to work under pressure and manage multiple events simultaneously.
Proficient in MS Office and event management software.
Creative and innovative mindset with problem-solving abilities.
Flexibility to work evenings, weekends, and travel as needed.
